REPORTS TO: Customer Service Supervisor, Municipal Civil
STATUS: Full-time, 35 hours/week, non-exempt, unclassified
JOB LOCATION: Hamilton County Courthouse
HOURS: Monday - Friday; 8:00 am – 4:00 pm
TRAVEL REQUIREMENTS: No travel required
PAY GRADE: 3
SUPERVISORY RESPONSIBILITIES: No

The Municipal Civil division processes filings and entries related to lawsuits with damages of $15,000 or less. This position provides services from prejudgment to post-judgment court filings. Specifically, the Case Management Team is responsible for the origination of new cases, mailing new cases and garnishments daily, Certificates of Judgments, processing failed certified mail returns, transfer of cases, processing electronic filings and specific assignment commissioner tasks.

Essential Duties

50% CUSTOMER SERVICE

Provide exceptional customer service by assisting customers at the counter and over the telephone
Process paperwork based on standard procedures
Maintains professionalism and confidentiality
Accept and process rent escrow payments

50% CLERICAL SERVICES

Process payments for garnishments
Initiate trusteeships
Review court entries for payment processing
Write checks for outgoing monies for garnishments, release of rent escrow payments, refunds to attorneys, etc.
Complete daily balancing for the division and review any anomalies or out-of-balance conditions with colleagues
Process payments received by mail
Process return mail to customers

Skills, Knowledge and Expertise

Knowledge of:

Municipal Civil court operations, laws, processes, and proceedings, or the ability to acquire this knowledge quickly.
Basic mathematics for money collection and drawer balancing.

Ability to:

Interact and build relationships with people of diverse backgrounds, personalities and characteristics, including but not limited to age, gender-identity, race/ethnicity, religious beliefs, disability status, sexual orientation, socioeconomic status, and physical appearance.
Maintain professional demeanor at all times and act in accordance with the office values - respect, integrity and fairness, kindness, and serving others.
Provide excellent customer service.
Effectively manage time and tasks, re-evaluate priorities, and adjust assignments as necessary.
Work as a team member as well as independently.

Skilled in:

Customer service.
Data entry and analysis. Skilled on a computer to quickly and accurately enter, access, update, and manipulate data. Needs to have strong attention to detail and a commitment to accuracy.
Basic computer functions.
Effective communication.

Qualifications

High School Diploma or equivalent; one (1) year of professional experience in an office environment, banking or governmental position; three (3) years of customer service experience; or an equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities.

The Hamilton County Clerk of Courts serves as the official record-keeper for most of the county’s court system. Our office manages filings for the Municipal Court, Court of Common Pleas, Court of Domestic Relations, and the Ohio First District Court of Appeals. In addition, we oversee the processing of motor vehicle and watercraft titles, passport applications, and public access to court records and services.
