Full Job Description

Job Summary: The Office Manager/Bookkeeper will provide day-to-day support for the operations of non-profit agency. The ideal candidate will have office management and bookkeeping experience, be a proactive problem-solver, and possess the ability to multi-task in a fast-paced environment. Coordinate and oversee all administrative duties, work independently, and uphold the highest level of integrity in all tasks.

This position is based in Center Moriches

Key Responsibilities:

Administrative Support: Process requests for client assistance and maintain accurate records and filing systems for confidential information.
Supplies Management: Maintain inventory of office supplies necessary for shelter operations.
Facility Maintenance Coordination: Coordinate and communicate with vendors for all maintenance of the facility.
Human Resources Support: Perform all onboarding tasks.
Financial Recordkeeping: Enter and process payments for the organization's bills. Support Finance Director with additional recordkeeping.
Accounts Receivable: Prepare and submit invoices for government funded grants.
Payroll and Accounting Support: Collect payroll timesheets and activity reports from staff, ensuring timely submission to the finance department. Maintain accurate documentation of petty cash transactions and other logs required by the accounting department.
Errands: Perform various errands to support the maintenance and operations of the agency.

Required Skills and Qualifications:

Proficiency in Microsoft Office Suite: (Word, Excel, Outlook).
QuickBooks experience is preferred.
Minimum of one year's payroll experience.
Excellent time management and organizational skills.
Strong attention to detail.
Ability to work effectively with diverse individuals and build positive relationships.
Adaptability and problem-solving abilities.
Exceptional customer service skills.
Ability to multi-task and maintain confidentiality.

Job Type: Full-time

Pay: $56,000.00 - $60,000.00 per year
