Job Description:
We are seeking a detail-oriented and proactive Project Manager Assistant / Office Assistant to support our Project Manager/Estimator and Office Manager. This role offers an exciting opportunity to contribute to a variety of construction projects through estimating, planning, and coordination.

The ideal candidate will have strong organizational and technical skills, construction knowledge, and the ability to manage multiple tasks in a fast-paced environment. This position is perfect for individuals looking to grow their career in construction management and project planning.

Key Responsibilities:

Assist in preparing accurate project estimates and quotes using estimating software and Adobe Acrobat
Support project managers with scheduling using Microsoft Word, Excel, and project management tools (Procore experience a plus)
Coordinate with subcontractors, suppliers, and internal teams to ensure smooth project execution
Maintain detailed documentation, including project activities, change orders, addendums, and schedules
Prepare proposals, bid packages, and supporting documentation
Distribute bid proposals to subcontractors and manage mark-outs
Track insurance documentation for vendors and subcontractors
Maintain drug and alcohol compliance programs
Track company vehicles and equipment lists
Coordinate employee training classes and certifications
Manage LENS reports and related compliance documentation

Qualifications & Skills:

Knowledge of construction management principles, contracts, and site safety protocols
Experience preparing and submitting contract bids
Strong time management and multitasking skills
Excellent communication and teamwork abilities
Proficiency in Microsoft Office (Word, Excel), Adobe Acrobat, and QuickBooks (preferred)
Familiarity with overweight permits, HUT, and DMV registration processes (a plus)
Basic administrative/office assistant experience
Notary certification is a plus
