Job Summary:
USA Concrete Coatings is seeking a detail-oriented Project administrator to join our team. As an Administrator, you will play a crucial role in supporting our office operations and ensuring smooth administrative processes. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and have a strong ability to multitask effectively. Answer multi line phone, transfer calls, schedule , and confirm appointments. Maintain job projects calendar, schedule jobs, job costing, material inventory and have payroll experience. Attention to details is a must.

Duties:
- Job costing and project scheduling

- Fleet vehicle and trailers maintenance logs

-Trailer inventory and take off list

- Customer relations

-Payroll hours and logs of crews

-CRM experience (Marketsharp, Company Cam, Leap)

- Spreadsheets

-Greet and assist all incoming customers with professionalism and courtesy.
- Answer and manage incoming calls, directing them to the appropriate personnel.
- Schedule and confirm appointments, maintaining an organized appointment calendar.
- Maintain supplies and keep inventory of products on a weekly basis

-Prepare new account folders, invoices and collect payments

-Maintain job board and spreadsheet for all ongoing jobs

-Assist supervisor with payroll as need

- Work in fast pace environment
- Perform general office duties including filing, data entry, and maintaining records.
- Assist in organizing and coordinating office operations to ensure efficiency.

Experience:
- Prior experience in an office setting or related field is advantageous.
- Proficiency in computerized systems for data entry is essential.
- Strong organizational skills with meticulous attention to detail are required.
- Experience as an office assistant or clerk is a plus.
- Bilingual proficiency (helpful but not needed)
