Job Summary

We are seeking a highly organized and experienced Full-Time Office Manager/Admin to oversee daily Doctor office operations with a focus on efficiency, professionalism, and seamless administrative support. This role offers a unique schedule, working half-day on Fridays and no weekend commitments, ideal for candidates with proven office management expertise. The successful candidate will demonstrate strong leadership, exceptional communication skills, and proficiency in various administrative and financial software to ensure the smooth functioning of our office environment.

Duties

Manage day-to-day office operations, including scheduling, filing, and maintaining organized workflows.
Thrive in a high paced environment with exceptional ability to multi-task well is a must
Oversee calendar management and coordinate appointments, meetings, and events to optimize team productivity.
Supervise administrative staff, providing training, guidance, and performance feedback to foster a collaborative team environment.
Handle vendor management tasks such as negotiating contracts, processing invoices, and ensuring timely deliveries.
Coordinate office supplies procurement, manage multi-line phone systems, and ensure the office remains well-equipped and functional..
Facilitate client communication with professionalism and courtesy while maintaining excellent customer service standards.
Ensure compliance with confidentiality protocols and handle sensitive information discreetly at all times.

Experience

Proven experience in office management or administrative roles within a professional setting.
Demonstrated supervisory experience leading teams or managing administrative personnel.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets creation and data analysis skills.
Knowledge of bookkeeping practices, payroll administration, budgeting processes, and financial software tools.
Excellent organizational skills combined with the ability to prioritize tasks effectively in a fast-paced environment.
Exceptional communication skills—both verbal and written—with an emphasis on professional phone etiquette and client interaction.
