Genesee Community Charter Schools (GCCS)
Genesee Community Charter Schools (GCCS) are hiring a Director Operations for the 2026-2027 school year to lead non-instructional operations across two campuses. You manage finance, human resources, enrollment, state data reporting, facilities, and information technology. You serve on the Senior Leadership Team and partner closely with the Executive Director and the two School Directors to keep both schools running so teachers can focus on teaching. Your time splits across both campuses.
Genesee Community Charter Schools educates more than 400 students in kindergarten through sixth grade across two Rochester campuses. The RMSC campus is authorized by the New York State Board of Regents, and the Flour City campus is authorized by the SUNY Charter Schools Institute. POSITION TITLE: Director of Operations
REPORTS TO: Executive Director
STATUS: Full Time, 12 months
SALARY RANGE: $68,000-$85,000 qualifications based on education, certifications, leadership, administrative experience, and tenure at GCCS.
WORK SITE: Split .5FTE at the GCCS-RMSC & .5 at the GCCS-Flour City Campus.
REPORTS TO: Executive Director
QUALIFICATIONS:
- Minimum three years of operations experience required, with five or more years preferred. Ideal experience comes from a school, nonprofit, or small organization.
- Strong finance and student data management experience.
- QuickBooks proficiency is required.
- Ability to manage competing priorities with discipline and follow-through, including finance, HR, compliance, facilities, and IT.
- Clear and professional communication with families, staff, vendors, board members, and authorizers.
- Strict confidentiality around personnel, finance, and student records.
- Capacity to learn new platforms quickly and stay current on state regulatory changes.
- NYS fingerprint clearance, or ability to obtain clearance before the start date.
- Bilingual candidates in English and Spanish are welcome.

ESSENTIAL RESPONSIBILITIES
Finance and accounting
- Manage accounts payable, accounts receivable, billing, and check writing through QuickBooks.
- Process bi-weekly payroll, including time sheet review for non-exempt staff, substitutes, and teaching assistants.
- Communicate with the payroll company on processing, tax paperwork, and corrections.
- Manage credit card statements and bank communications.
- Lead year-end reconciliations and partner with the auditor through annual audits at both campuses.
- Support funding reports, submissions, and manage fundraising contributions.
- Administer the retirement system enrollment and reporting for staff.
Human resources
- Post open positions on Indeed, Handshake, and other platforms.
- Verify fingerprint clearance and certification through TEACH.
- Partner with the Executive Director on salary decisions and issue offer letters.
- Coordinate benefits enrollment with brokers, including health, dental, HRA, FSA, long-term disability, and life insurance.
- Register employees in NYSTRS or NYSLRS as applicable.
- Onboard new staff through ISolved.
- Maintain personnel files and manage termination, COBRA, and offboarding processes.
- Manage substitute coverage in coordination with the School Directors and TES Staffing.
- Serve as the primary point of contact for HR questions and interpret the Staff Handbook.
- Track staff attendance for payroll and NYS reporting.
Data coordination and state reporting
- Serve as District Data Coordinator and Data Protection Officer for both campuses.
- Lead monthly Level 0 updates and push to Level 1 and Level 2 through BOCES.
- Meet monthly with the Special Education Coordinator to verify student identification and program services in SchoolTool.
- Communicate student status changes to the Food Service Coordinator and leadership team.
- Attend quarterly Data Coordinator meetings at BOCES and stay current on MAARS communications and SIRS changes.
- Manage SchoolTool yearly rollover and scheduling updates, and upload NYSESLAT and other required state reports.
Enrollment and student services
- Manage the annual student lottery through Avela.
- Coordinate enrollment activities including seat offers, school tours, and parent information sessions. Some evening and weekend work is required.
- Support social workers with McKinney-Vento situations.
- Coordinate with the Administrative Specialists and oversee work including:
*Cumulative folders and electronic student records in SchoolTool
*Manage transportation through MapNet and coordinate with RCSD.
*Process records requests, withdrawals, and student transfers.
Information technology
- Administer SchoolTool, including annual rollover, scheduling, user accounts, and reporting.
- Serve as liaison to the Center for Information Service (CIS) for IT and tech support across both campuses.
Facilities and office operations
- Coordinate facility management with support from the Executive Director.
- Submit work orders for both school campuses.
- Source vendor quotes for repairs not covered by landlords and manage relationships with cleaning companies and outside vendors.
- Order supplies and manage copier service across both campuses.
- Coordinate large mailings to families including progress reports and notices.
- Manage ordering from RCSD for textbooks, library materials, and technology with the Director of Curriculum and Instruction.
Board support and communications
- Liaise between the Board Secretary, Board President, and Executive Director.
- Support new Board member onboarding and attend Board of Trustees meetings.
- Serve on the Finance Committee and the Community Engagement Committee.
- Support the Family Association with event coordination and family communications through SchoolMessenger.
Vendor and compliance management
- Manage the HR and compliance consulting vendor relationship. The vendor supports Staff Handbook revisions, policy updates aligned to state and federal regulatory changes, personnel matter advisement, and Board of Trustees Personnel Committee work, with support from the Executive Director.
- Coordinate with the auditor, payroll company, benefits brokers, and retirement system administrators.
Supervision
- In collaboration with the School Directors, supervise campus Administrative Specialist assistants at both campuses.
- Train and provide backup coverage for clerical staff and school nurses.
- Supervise Food Service Coordinator, Food Service Assistants, and Recruitment and Enrollment Specialist.
Performs other duties as assigned by the Executive Director
