Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines efficient bookkeeping with comprehensive administrative support, ensuring smooth daily operations and accurate financial record-keeping. The ideal candidate will be energetic, highly organized, and possess excellent communication skills to manage multiple responsibilities with enthusiasm and precision. Duties

Manage accounts using QuickBooks accounting software, ensuring all transactions are accurately recorded and reconciled regularly
Handle data entry tasks with speed and accuracy, maintaining up-to-date financial records and spreadsheets
Answer multi-line phone systems promptly, professionally directing calls and providing exceptional customer service to clients and visitors
Assist with office management duties such as ordering supplies, maintaining filing systems, and organizing documents for easy retrieval
Support front desk operations by greeting visitors, managing appointments, and coordinating calendar schedules for staff members
Prepare Word processing documents, emails, reports, and proofread all correspondence for clarity and accuracy
Provide general administrative support including photocopying, scanning, mailing, and supporting team members with various clerical tasks

Skills

Proficiency in QuickBooks accounting software for bookkeeping & payroll tasks
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and productivity software
Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment
Experience managing multi-line phone systems and demonstrating professional phone etiquette
Demonstrated office management experience including calendar management and document organization
Exceptional data entry skills with high accuracy rates; familiarity with spreadsheets for tracking financial data
Strong customer service skills to support client communication and front desk operations
Proven ability to handle clerical responsibilities such as proofreading, word processing, and maintaining office supplies
Time management skills to balance multiple priorities while maintaining productivity levels
