Job Coordination, Permits & Inspections, Sales Support:

Job Overview

We are seeking a highly organized, detail-oriented Construction Office Assistant to help manage daily job workflows, support our sales team, and maintain clean operations from initial job entry in CRM through to final project delivery.

Responsibilities

Job Coordination, Permits & Inspections:

Assemble comprehensive job folders for all new projects entering our system.
Coordinate the permit process by preparing and submitting all necessary construction and zoning permit applications to local municipalities for upcoming installations.
Work directly with customers to secure all necessary documentation and artifacts required for permit approval.
Request and coordinate final inspections with local municipalities immediately upon job completion to ensure compliance and close out open files.

Data Entry & CRM Management:

Promptly and accurately input all new project details into our system.
Maintain clean and accurate data daily, ensuring customer files comply with company tracking standards.
Keep customer records continuously up-to-date in CRM as each job moves through the pipeline.

Sales Support & Customer Communication:

Provide daily assistance and operational support directly to our sales reps.
Answer incoming calls and schedule appointments for sales reps.

Experience

Permitting experience preferred
Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking ability
Proficiency in Microsoft Office, and familiarity with productivity software
Strong attention to detail
Excellent communication skills, both verbal and written; bilingual abilities are a plus
Experience in customer service roles is advantageous
Demonstrated ability to manage time effectively while handling multiple priorities in a fast-paced environment
Experience in construction industry is a must, minimum one year
