Service Coordinator

We are seeking an organized, customer-focused, and detail-oriented Service Coordinator to support our service department's daily operations. This role serves as the operational hub between customers, technicians, management, vendors, and internal departments to ensure the efficient delivery of industrial air compressor service and maintenance activities.

Position Summary

The Service Coordinator is responsible for coordinating daily office, warehouse, safety, and service operations to support the efficient delivery of industrial air compressor service and maintenance activities. This position serves as the primary administrative and operational support resource for the District Service Manager and field technicians.

The Service Coordinator is responsible for technician scheduling, work order administration, inventory coordination, safety documentation, customer communication, and general office and warehouse operations. While this position does not directly supervise employees, it plays a critical role in ensuring smooth day-to-day operations and an exceptional customer experience.

Key Responsibilities

Service Coordination

Schedule and coordinate preventive maintenance, repairs, installations, and emergency service calls.
Maintain technician schedules and daily dispatch activities.
Monitor work order status and ensure timely completion of service documentation.
Coordinate customer appointments and service requests.
Assist with prioritizing service calls based on customer needs and operational requirements.
Support efficient routes and scheduling of technicians to maximize productivity.
Track open service activities and communicate updates as needed.

Customer Service

Serve as a primary point of contact for customers regarding service scheduling and operational inquiries.
Respond promptly and professionally to customer requests.
Direct customer issues to the appropriate personnel and assist with follow-through to resolution.
Maintain accurate customer records and service histories.
Support customer satisfaction initiatives and follow-up activities.
Build and maintain positive customer relationships through proactive communication.

Office Administration

Manage office records, filing systems, and operational documentation.
Prepare reports, spreadsheets, and operational summaries.
Assist with billing, invoicing, and purchase order processing.
Coordinate vendor communications and administrative activities.
Maintain office supplies and equipment.
Ensure service records and documentation are accurate and properly maintained.
Support district administrative processes and special projects assigned.

Operational Support

Support the District Service Manager with daily operational activities.
Assist with tracking technician productivity and service performance metrics.
Coordinate communication between customers, technicians, vendors, and management.
Identify opportunities to improve operational efficiency and workflow processes.
Provide operational support that contributes to the achievement of district goals and objectives.

Collaboration & Team Support

Assist the General Manager, VP of Operations, VP of Sales, Sales Managers, Controller, and other team members as needed.
Work collaboratively with Service, Sales, Parts, Accounting, and Operations teams to support business objectives.
Foster positive working relationships across departments to ensure efficient communication and teamwork.

Meetings

Participate in weekly EOS L-10 District meetings.
Facilitate the weekly District Hot Jobs meeting.
Participate in operational planning and service review meetings as needed.

Qualifications

High school diploma or equivalent required.
Previous experience in service coordination, dispatching, office administration, operations support, customer service, or a related role preferred.
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency in Microsoft Office Suite, Outlook, Teams, and business software systems.
Strong attention to detail and accuracy.
Professional, positive, and customer-focused attitude.
Ability to maintain confidentiality and handle sensitive information appropriately.
