A Company in Buchanan is looking for a Operations Assistant. This role supports accounts payable, accounts receivable, document management, call handling, and public service functions in a fast-paced office environment. The ideal candidate is accurate, organized, dependable, and professional when working with staff, vendors, and the public. Pay ranges from $10.00 to $12.00 per hour, based on experience.

Position Overview:

The Operations Assistant provide clerical and administrative support for the Operations Department, with an emphasis on accurate data entry, organized recordkeeping, responsive call management, and courteous public assistance. This position is well suited for candidates who are comfortable handling multiple priorities, maintaining confidentiality, and supporting daily financial operations with consistency and attention to detail.

Essential Duties & Responsibilities:

Accounts Payable (AP):

Enter vendor invoices, purchase orders, and payment records accurately and efficiently.
Review invoices against purchase orders and receiving documents.
Scan, index, and electronically file accounts payable records

Accounts Receivable (AR):

Enter revenue postings, receipts, and payment information accurately.
Process incoming payments, including cash, checks, and electronic payments.
Scan and electronically file accounts receivable records.

Centralized Call Management:

Answer incoming calls professionally and efficiently.
Route calls to the appropriate staff member or department.
Maintain call logs and support timely follow-up on messages and requests.
Communicate clearly and courteously with staff, vendors, and the public.
Document calls and requests to support workflow and accountability.

Public Interface Responsibilities:

Welcome visitors and provide professional front-office assistance.
Provide accurate information while maintaining confidentiality and professionalism.

Required Skills & Qualifications:

Typing Speed: Minimum 20 words per minute.
10-Key Proficiency: Ability to operate a numeric keypad by touch.
Accuracy & Attention to Detail: Consistently error-free work; careful review of data.
Fast-Paced Environment: Manage multiple tasks under deadline pressure.
Organizational Skills: Maintain orderly files and workflow.
Error Recognition & Correction: Identify and correct data entry discrepancies.
Confidentiality: Handle sensitive information discreetly.
Effective Communication: Clear, professional interaction with staff, and the public.
Teamwork & Independence: Work well both independently and as part of a team.
Reliability & Punctuality: Consistent attendance and timeliness.

Minimum Education & Experience

High school diploma or GED required.
Coursework or experience in bookkeeping, accounting, or clerical finance is helpful.
Data entry or office experience is preferred.

Preferred Qualifications:

Accounting or bookkeeping coursework, high school or post-secondary.
Familiarity with Microsoft Office Suite, including Word, Excel, and Outlook.
Experience with accounting or ERP software.
Understanding of AP/AR processes.
Experience with telecommunications or call management tools.

Schedule: 1st shift

Pay: $10.00 - $12.00 /Hour
