Full Job Description

Job Summary

Smiles by White is seeking a warm, confident, and highly organized Orthodontic Treatment Coordinator to lead the new patient experience in our Rocky River office.

The role combines exceptional patient service, consultative sales, financial presentation, and consistent follow-up. Working alongside Dr. John White, you will help adults, teens, children and parents understand their orthodontic treatment recommendations, Invisalign options, fees, and payment arrangements.

Our approach is educational and honest, never high-pressure. The right person will be comfortable building trust, asking thoughtful questions, presenting a significant investment clearly, and helping patients feel confident taking the next step.

What you will do

Lead the nonclinical portion of new patient consultations and support Dr. White during new patient exams
Create a warm, organized, and personalized experience for adults, teens, children, and parents
Clearly explain Dr. White’s treatment recommendations, with an emphasis on Invisalign treatment
Present treatment fees, insurance information when applicable, and flexible payment options
Help patients select financial arrangements within established practice guidelines
Complete new patient intake, treatment agreements, and the transition into active treatment
Respond promptly to new patient inquiries by phone, text, and email
Maintain consistent, thoughtful follow-up with patients who are considering treatment
Keep accurate notes and follow-up tasks within practice systems
Help the practice achieve new patient start and growth goals
Partner with the Marketing Manager to ensure leads from campaigns receive timely follow-up and a smooth transition into consultation
Collaborate with the clinical, scheduling, and administrative teams to create a seamless patient experience

What we are looking for

Previous experience in consultative sales, treatment coordination, healthcare, hospitality, or another high-touch customer-facing role
A warm, confident, and professional communication style
Comfort discussing treatment fees, financing, and significant purchase decisions
The ability to listen carefully, understand patient concerns, and explain options clearly
Strong organization, attention to detail, and follow-through
Confidence working toward treatment-start and practice-growth goals
Strong written and verbal communication skills
Ability to work effectively as part of a collaborative team
Basic computer proficiency and the ability to learn new systems
Ability to reliably commute to our Rocky River office for an in-person schedule

Preferred experience

Previous dental or orthodontic experience
Previous treatment plan or financial presentation experience
Experience with relationship-based or consultative sales
Familiarity with dental, orthodontic, or customer relationship management software

Compensation and benefits

Starting pay of $27.00 per hour

This full-time position is based in our Rocky River office.
