Are you an experienced healthcare professional looking for a rewarding opportunity in a growing, privately owned gastroenterology practice—not hospital-owned—where your attention to detail, organizational skills, and commitment to exceptional patient care are truly valued? Our large, well-established GI practice operates multiple clinical offices, state-of-the-art endoscopy centers, and an in-house pathology lab throughout the Upstate, all dedicated to delivering high-quality, compassionate patient care. We are seeking a dedicated Admissions Coordinator to join our endoscopy center team. This role is ideal for an organized, patient-focused individual who thrives in a fast-paced healthcare environment and enjoys creating a positive experience for patients from the moment they arrive. The Admissions Coordinator is responsible for welcoming patients, completing registration and admission processes, verifying information, coordinating communication between departments, and ensuring a smooth and efficient patient flow throughout the visit.

The ideal candidate is detail-oriented, dependable, and able to manage multiple priorities while maintaining professionalism and compassion. Strong communication skills, excellent customer service, accuracy with patient information, and the ability to work collaboratively with physicians, nurses, and administrative staff are essential.

Job Title: Admission Coordinator

FLSA Status: Non-exempt

Immediate Supervisor: Director of Endoscopy Services

Summary:

Open and prepare the center to see patients, efficiently interview patients and input their information into the computer, answer all questions from the patient or locate someone who can answer the question, prepare charts for the day, answer phone calls, and treat patients and others with respect and compassion.

Minimum Qualifications:

A high school diploma or equivalent is required.
Previous experience in a medical office is desirable, particularly with scheduling, patient registration, billing procedures, and data entry.
Must have basic computer skills and the ability to quickly learn and use the software programs utilized by the practice.
Must enjoy working with the public and demonstrate strong communication and customer service skills. This position involves direct interaction with patients on a daily basis, which can be demanding at times. A friendly and professional demeanor is essential.
Must be dependable, punctual, and capable of handling confidential patient information with discretion and professionalism.
Must comply with all policies and procedures outlined in the Personnel Policy Manual.

Essential Duties and Responsibilities:

Opens the facility each morning by unlocking designated doors to the building and GEC.
Ensures the waiting area is clean and welcoming at the start of the day: checks for cleanliness, sufficient magazines, appropriate lighting, radio and TV settings, and comfortable temperature. Resolves any deficiencies promptly.
Monitors the waiting area throughout the day and before leaving, addressing any issues that arise.
Prints the daily schedule and distributes it in a timely and organized manner to prep, recovery, and procedure rooms, as well as to the scope cleaning room and procedure hallway nurses’ station.
Greets patients warmly with a friendly tone and demeanor, helping create a welcoming atmosphere.
Verifies and scans insurance cards; confirms patient contact and demographic information.
Reviews and obtains informed consent, ensuring patient understanding of the procedure. Escalates concerns about patient comprehension to the Director of Endoscopy Services or designee as needed.
Completes the pre-operative questionnaire at the interview desk, recognizing the importance of accuracy and thoroughness.
Notifies the prep nurse when the patient is ready and communicates any delays to patients or family members.
Updates patient records in the system and reports any significant concerns—such as signs of abuse, mental health issues, or medication problems—to the Director or appropriate staff member.
Prepares charts for same-day work-in patients.
Notifies appropriate staff of cancellations, additions, or changes in patient arrival times.
Reviews the next day’s schedule to confirm follow-up appointments.
Maintains printed charts for scheduled patients one week in advance for both locations.
Answers incoming calls along with other staff and provides general information as needed.
Conducts pre-procedure phone calls two days in advance to confirm appointments and address patient questions.
Compiles and enters quarterly patient satisfaction data into the system and submits it to the Director of Nursing.
Responds to patient billing inquiries or refers them to the appropriate billing contact.

Miscellaneous

Maintains adequate stock of office supplies, including paper, toner, and fax sheets.
Reports equipment issues to the appropriate person.
Keeps BLS certification current.
Interacts professionally and courteously with physicians, patients, and staff; follows through on inquiries.
Supports team members with daily tasks and end-of-day responsibilities.
Assists with accreditation activities as needed.
Attends computer training to stay current with software systems.
Communicates effectively with nursing and clinical staff.
Maintains professionalism and confidentiality at all times.
Retrieves and distributes mail.
Completes bulk copying tasks for staff support.

Physical Demands of Job:

Ability to work under stress, moderate periods of sitting, walking, use of hands and arms, standing, assist in transferring, lifting or repositioning patients that can weigh up to 350 pounds as necessary, moving stretchers with or without a patient in it, and lifting and/or moving up to 25 pounds.
