Customer Service & Administrative AssistantSupporting Operations for Hard Time Products & The Store Call

Location: Rome, Georgia

Employment Type: Full-Time

Starting Salary: $35,000–$40,000 annually, based on qualifications and experience.

Hard Time Products supplies detention facilities with quality security products, uniforms, mattresses, commissary products, safety equipment, and facility solutions.

The Store Call provides inmate commissary services and technology solutions that improve operational efficiency while delivering outstanding service to correctional staff and the families they serve.

Position Summary

The Customer Service & Administrative Assistant provides administrative, customer service, and operational support for both Hard Time Products and The Store Call.

This position is often the first point of contact for our customers and plays an important role in maintaining the professional image of our companies. Responsibilities include customer service, order processing, data entry, reporting, inventory administration, purchasing support, and assisting with the daily operations of both businesses.

No two days are exactly alike. One day may involve assisting a correctional facility with an order, while the next may involve preparing reports, coordinating shipments, communicating with vendors, or supporting internal projects.

Success in this position requires professionalism, organization, adaptability, accuracy, and a genuine commitment to outstanding customer service.

Primary Responsibilities

Provide exceptional customer service by telephone and email
Professionally answer incoming calls and direct inquiries appropriately
Process customer orders accurately and efficiently
Perform accurate data entry across multiple software systems
Maintain customer, vendor, and product information
Prepare reports and spreadsheets using Microsoft Excel
Coordinate internal communication using Microsoft Teams and Outlook
Assist with purchasing and vendor communications
Support inventory administration and order tracking
Prepare shipping documentation and coordinate deliveries
Scan, organize, and maintain electronic records
Assist sales personnel with administrative support
Support day-to-day office operations and special projects
Maintain confidentiality of company and customer information

Required Qualifications

High School Diploma or GED
Excellent verbal and written communication skills
Strong customer service skills
Strong organizational and time-management abilities
Excellent attention to detail
Ability to prioritize multiple tasks in a fast-paced environment

Preferred Qualifications

Proficiency with Microsoft Excel
Experience with Microsoft Teams
Microsoft Outlook
Microsoft Word
Microsoft Office 365
Excellent telephone etiquette and customer service skills
Strong keyboarding and 10-key skills
Data entry experience
Experience with ERP, inventory management, or accounting software (QuickBooks, Sage, or similar)
Experience with Adobe Acrobat/PDF documents
Experience with UPS, FedEx, or other shipping software
Ability to quickly learn new software applications
Ability to maintain confidentiality and professionalism when working with correctional agencies and sensitive information
