Residential Maintenance Manager – Job Description

Position Overview

The Maintenance Manager plays a critical role in ensuring all maintenance operations are completed accurately, timely, and in compliance with quality standards. This position requires flexibility beyond standard business hours (8:00 AM – 5:00 PM) to meet deadlines and maintain property standards. Early mornings, evenings, and on-call weekends two times per month are required.

Key Objectives

Ensure successful completion of all inspections, including initial and follow-up, without failure.
Maintain high-quality standards for all contractor work prior to payment approval.
Complete annual property inspections at least 30 days before due dates and provide timely updates to the Property Manager via CAM and.

Primary Responsibilities

Vendor & Contractor Management
Order and schedule vendor services.
Create purchase orders for all vendor maintenance services and products.
Verify contractor’s work quality before approving payments.
Establish and oversee vendor lists and contracts.
Work Order Oversight
Ensure owners are informed of all tenant work orders.
Obtain owner approval before starting any work.
Confirm markup on work orders prior to owner approval.
Monitor timely completion of all work orders in collaboration with property manager and supervisor.
Create scopes of work for unit turnovers.
Gather several estimates for scopes of works and estimates for repairs
Maintenance Team Coordination
Assign and schedule projects for maintenance staff.
Oversee daily activities and timesheet billing for in-house maintenance technicians.
Monitor employee work levels and review performance.
Property Inspections
Conduct property walks and inspections (grounds, common areas, parking lots, community rooms, make-readies, quality control).
Complete move out reports and charge tenants for move out damages.
Ensure properties meet Premier Property Management Investment LLC standards.
Verify all contractor work is completed on-time and correctly prior to providing approval of contractor payments to the Property Manager.
Attend all Section 8 inspection and Housing Authority inspection meetings to ensure properties pass inspection without fail.
Resident Relations
Follow up with residents after maintenance services.
Respond promptly to resident concerns and requests.
Address customer service issues from Satisfacts surveys.
Administrative Duties
Maintain logs and systems (Keylog, lock boxes, vendor/product logs).
Perform general office tasks (phones, filing, special projects).
Manage email communications and data entry in Outlook, AppFolio, and other systems.
Communicate regularly with PPMI staff regarding status of all current and future work orders as well as all property inspections.
Compliance & Training
Stay updated on governmental regulations related to maintenance, health, safety, and environment.
Train on-site personnel on new compliance requirements.
Budget & Project Support
Assist with contract specifications and bids.
Consult on annual budgets and solicit bids for major repairs or purchases.

Work Schedule & Compensation

Hours: 8:00 AM – 5:00 PM, Monday–Friday, with two weekends per month on-call and early mornings or evenings required as determined by management.
Salary: $26.44 - $29.80 per hour which equals approximately $55,000 - $62,000 per year. Pay scale can be higher depending on qualifications and experience for a well qualified hire.
Benefits:
401(k) match after 90 days.
PTO after 90 days.

Required experience:

Must have a minimum of 7 years third party property management or contractor experience with knowledge of Section 8 and other Housing Program inspection requirements
Must have 2 years AppFolio 2 experience
Must have 2 years computer experience
Must have valid driver's license with vehicle titled in your personal name
Must have valid vehicle insurance

Pay: $26.44 - $29.80 per hour

Expected hours: No less than 40 per week
