Full Job Description

MDIS, LLC - Procurement & Warehouse Coordinator

MDIS is looking for a dependable, organized person to manage both purchasing and warehouse inventory for our technology projects.

This is a hands-on position. You will order low-voltage technology equipment, receive it in our warehouse, reconcile the paperwork and vendor bills, organize it by job, and stage it for our installation teams.

About MDIS:

MDIS is a technology integration company based in Royal Oak, Michigan. We install commercial security cameras, access control, network infrastructure, professional audio/video, digital signage, and other low-voltage systems.

What This Job Does:

MDIS uses a just-in-time inventory system. After a project is sold, this person reviews the sales order and equipment list, then orders the job-specific and special-order equipment needed for the installation.

Equipment arrives in boxes, on pallets, and through freight deliveries. This person receives it, records it in NetSuite, checks it against the purchase order, reconciles the vendor bill, and organizes everything in the warehouse by job.

The role is responsible for keeping equipment accurate and accountable from the time it is ordered until it is installed or returned.

Main Responsibilities:

Purchasing

Review sales orders and project equipment lists.
Request and compare vendor quotes.
Create purchase orders in Oracle NetSuite.
Order job-specific and special-order equipment after a project is sold.
Track lead times, backorders, partial shipments, substitutions, and delivery dates.
Follow up with vendors about pricing, availability, shipping, and order problems.
Coordinate vendor returns, RMAs, credits, and warranty claims.

Receiving and Billing

Receive technology equipment delivered in boxes, on pallets, or by freight.
Inspect shipments for missing, damaged, or incorrect equipment.
Match shipments to purchase orders and packing slips.
Enter item receipts in NetSuite.
Enter and organize vendor bills.
Reconcile purchase orders, item receipts, packing slips, and vendor bills.
Investigate quantity, pricing, freight, tax, or product discrepancies.
Process vendor bills for payment according to company approval procedures.
Confirm that vendor credits and refunds are received and applied correctly.

Warehouse and Job Staging

Label all equipment with the correct project or sales order.
Create an organized staging area for each active job.
Keep equipment separated and accountable by project.
Track what has arrived, what is still missing, and what is ready for installation.
Process item fulfillments when equipment is released to a job.
Maintain picking tickets and equipment check-in/check-out records.
Document when equipment leaves the warehouse and who received it.
Keep warehouse and staging areas clean, labeled, and organized.

Equipment Returning From Jobs

Receive unused, damaged, incorrect, or defective equipment returned by field technicians.
Identify which job the returned equipment belongs to.
Determine whether equipment should be restocked, assigned to another job, returned to the vendor, submitted for warranty replacement, or disposed of.
Update NetSuite and project records.
Track returns, RMAs, credits, and warranty claims through completion.

Technology Equipment We Buy

MDIS purchases equipment from distributors such as ADI, Graybar, WESCO, Ingram Micro, B&H Photo, and other technology suppliers.

Examples include:

Security cameras, mounts, NVRs, and surveillance equipment
Network switches, routers, wireless access points, and network hardware
Access-control panels, card readers, locks, and power supplies
Category cable, fiber-optic cable, connectors, jacks, and patch panels
Equipment racks, cabinets, and cable-management products
Displays, projectors, mounts, speakers, amplifiers, and audio/video equipment
UPS battery backups, adapters, converters, brackets, and installation parts

NetSuite Experience

MDIS runs its operations through Oracle NetSuite. Experience with the following is a strong plus:

Purchase orders
Sales orders
Item receipts
Item fulfillments
Inventory records
Vendor bills
Vendor credits and returns

Preferred Qualifications

At least one year of experience in purchasing, procurement, inventory management, warehouse operations, order coordination, or a related role.
Strong organization and attention to detail.
Ability to manage multiple orders, shipments, and project deadlines.
Ability to compare purchase orders, packing slips, equipment lists, and vendor bills.
Comfortable using computers, spreadsheets, and business software.
Clear communication with vendors, project managers, accounting, and field technicians.
Willingness to work hands-on with boxed and palletized technology equipment.
Ability to work on-site in Royal Oak, Michigan.

Preferred Experience

Experience in low-voltage systems, construction, electrical, security, audio/video, networking, or telecommunications is helpful, but not required.

The Right Person

The right person will take ownership of the complete equipment process. Placing the order is only the beginning. You must make sure the correct technology equipment is ordered, received, entered into NetSuite, matched to the vendor bill, paid for, organized by job, staged for installation, and accounted for if it returns to the warehouse.

Pay: $65,000.00 - $75,000.00 per year
