Quality Over Volume. Relationships Over Transactions. (AUSTIN TEXAS )
Lake Travis Dentistry is a growing private, out-of-network dental practice built around a simple philosophy:
Do excellent dentistry. Take exceptional care of people. Build meaningful, long-term relationships with our patients.
We intentionally operate outside the traditional insurance-driven model because we don't believe that great dentistry or a great patient experience should feel like an assembly line! Lets be humans with real human connections.
We aren't trying to see 4x-5x as many patients simply to make an insurance-driven model work and burn out our team. We care about you! We would rather see fewer patients exceptionally well and give our doctors and team the time to listen, educate, have meaningful conversations, and provide the level of care our patients deserve.
We're looking for an exceptional Dental Front Office Lead who shares that philosophy and wants to take real ownership of the patient experience, scheduling, treatment coordination, collections, and front-office operations.
This is NOT a basic receptionist position.
We need someone who sees what needs to be done and takes action.
Someone who can build relationships with patients, confidently present treatment, collect copays and finances, keep doctor and hygiene schedules productive, manage AR and collections, improve systems, and help lead a high-performing practice.
IMPORTANT: Out-of-Network Experience Required
Significant experience working in an out-of-network or fee-for-service dental practice is required! You can’t fake it until you make it on this one. Be honest with yourself.
You should already be comfortable with out-of-network insurance workflows, patient financial conversations, treatment presentation, AR and collections, productive scheduling, reactivation, and patient retention.
If your experience has primarily been in-network or corporate dentistry, this position may not be the right fit for you right now. Maybe in the future but let’s save both our times and be realistic.
The BEST PART? We Don't Want You Buried in Insurance Busy-work
We want an experienced Front Office Lead spending their time where they can make the biggest difference: with our patients, our schedules, treatment, collections, systems, and practice growth.
That's why we have a dedicated remote support team handling much of the repetitive insurance administrative work to verify OON benefits and Assignment of Benefit clauses.
You will NOT spend your day verifying insurance benefits, posting EOBs, entering routine insurance payments, or buried in repetitive insurance administrative tasks.
Our remote team handles those functions.
You still need to understand out-of-network insurance and confidently explain benefits and patient responsibility, but we want your time focused on higher-value work.
We hired you to lead the front office—not spend your day posting EOBs.
What You'll Own
1. The Patient Experience
Our patients should feel known—not processed.
We want you building genuine relationships with our patients and creating an experience where people feel welcomed, remembered, informed, and genuinely cared for.
That means having real conversations, anticipating needs, following through, solving problems, and helping patients navigate their care.
Our patients choose to come to us even though we are out-of-network. The experience we provide matters and should reflect that. It starts with the phones!
2. The Schedule — Don't Just Watch It. OWN IT!
This is one of the most important expectations of the position.
You will take ownership of keeping our doctor and hygiene columns full and productive.
A great schedule doesn't happen by accident.
We expect you to look ahead—not just at tomorrow, but days and weeks in advance—to identify openings, cancellations, unscheduled treatment, overdue hygiene, and other opportunities before they become a problem.
You will:
- Proactively monitor doctor and hygiene schedules
- Look days and weeks ahead for openings
- Identify scheduling gaps early and take action
- Actively make outgoing calls to patients
- Work short-call lists
- Work overdue hygiene and reactivation lists
- Follow up on unscheduled treatment
- Follow up with patients who leave without their next appropriate appointment
- Focus on reactivation of patient in our system
- Optimize scheduling for production, flow, retention, and continuity of care
- Take personal ownership of keeping clinical columns productive and full
This is NOT a position where we wait for the phone to ring.
If there is an opening, our first question is:
“What can I do to fill it?”
We need a go-getter—someone proactive, resourceful, persistent, and comfortable picking up the phone and creating opportunities.
If your preferred approach is to sit at the front desk, answer incoming calls, scroll on your phone, and react to whatever happens that day, we are probably not the right fit for each other!
If you naturally look ahead, see a problem coming, and start solving it before anyone has to ask you, we want to meet you!
3. Treatment Presentation & Financial Conversations
This person will also play an important role in presenting treatment and helping patients move forward with recommended care. Case Acceptance is important!
Great treatment coordination isn't about “selling dentistry.”
It's about helping patients understand their diagnosis, recommended treatment, its value, their financial responsibility, and their options for moving forward.
You will:
- Present treatment plans clearly and confidently
- Review treatment costs and financial responsibility
- Explain out-of-network insurance benefits
- Discuss payment options and financial arrangements
- Answer questions and address patient concerns
- Follow up on unscheduled treatment
- Maintain organized treatment follow-up systems
- Help patients overcome logistical or financial barriers to care
- Present Cherry financing to any patient who is eligible
- Track treatment acceptance and outstanding treatment
- Work closely with the doctor and clinical team
- Work closely with our remote team to ensure no bottlenecks
We want someone who can confidently talk about money without losing warmth or empathy.
You should be able to sit down eye-to-eye and have a meaningful conversation with a patient in the operatory—not simply hand them a treatment estimate and ask whether they want to schedule.
4. Accounts Receivable & Collections
You will also take ownership of keeping our patient AR healthy.
This includes:
- Monitoring patient AR with our remote team
- Consistently following up on outstanding balances
- Making outgoing collection calls when necessary
- Resolving outstanding account issues
- Identifying aging balances before they become larger problems
- Establishing appropriate financial arrangements
- Tracking AR and collection metrics
- Maintaining consistent follow-up systems
We expect problems to be identified and addressed proactively rather than discovered months later.
Leadership & Operations
You will also help lead day-to-day front-office operations, improve systems and workflows, track key metrics aka KPI’s, communicate between the clinical and administrative teams, support practice growth, and help create a positive, organized, high-accountability culture.
We don't expect you to simply identify problems.
We want someone who brings solutions.
Who Will Thrive Here?
Someone who:
- Has strong out-of-network / fee-for-service dental experience
- Has a GOOD ATTITUDE + Positive natured
- Has experience presenting significant dental treatment
- Understands AR, collections, insurance, and patient financial communication
- Knows how to build and maintain productive doctor and hygiene schedules
- Is comfortable making proactive outgoing patient calls
- Creates activity rather than waiting for the phone to ring
- Naturally takes initiative and ownership
- Is exceptionally reliable and accountable
- Notices details others miss and helps close the loop
- Communicates confidently while remaining warm and empathetic
- Has strong emotional intelligence
- Can have difficult conversations professionally
- Can both give and receive feedback
- Remains calm and solution-focused when something goes wrong
- Enjoys improving systems rather than working around broken ones

Compensation & Growth
Salary upto : $70,000/year + performance-based bonus opportunities
Bonuses may be tied to areas such as scheduling efficiency, collections, AR performance, treatment acceptance, patient experience, and practice growth.
Additional benefits include:
- Accrued Paid time off
- Mid year wellness week
- End of year holiday week
- Continuing education opportunities
- Employee dental benefits/discounts
- Significant opportunity for increased responsibility and compensation as the practice grows
We believe high performers should benefit when their work meaningfully contributes to the success of the practice that is beyond their scope of duty.
Schedule
Tuesday–Saturday
Saturday is currently a non-clinical administrative and growth day.
This provides dedicated time to work on scheduling, reactivation, unscheduled treatment, AR, systems, and other responsibilities without the interruptions of a clinical day.
Consistent Saturday availability is preferred and is part of the compensation structure.
For an exceptional candidate who cannot work Saturdays, we are open to discussing an alternate schedule with compensation adjusted accordingly.
Why Lake Travis Dentistry?
We aren't trying to be the highest-volume dental office in Austin. We are one doctor, one hygienist, one assistant, and one other front office person.
We would rather see fewer patients exceptionally well than rush patients and team members through the day. We are not trying to burn out! If you are - there are several In-Network offices that have openings that focus on volume.
Being out-of-network gives us the ability to focus on quality over volume and relationships over transactions.
Your job isn't simply answering phones and moving names around a schedule.
You have the opportunity to actually know our patients. Understand their families and goals. Have meaningful conversations. Help them understand their treatment. Solve problems. And create an experience that makes people want to remain part of our practice for years.
We have high standards, but we also believe people do their best work when they're trusted, supported, challenged, and given room to grow.
For the right person, this isn't just another dental front-office job.
It's an opportunity to become an essential operational leader in a growing private practice for the long-term in Austin, Texas!
Life is too short to be average.
There are plenty of workplaces where doing the minimum is enough.
We're simply not building one of them.
