Full Job Description

Client Service & Operations Manager:

We are looking for an organized, proactive professional who enjoys creating structure, improving processes, and delivering an outstanding client experience. This individual will become an integral part of our small team and help ensure every client interaction reflects the high standard of care our firm is known for.

Role Responsibilities:

Client Servicing and Administrative Support:

- Serve as the first point of contact for clients by phone and email; maintain a warm, professional tone and deliver an exceptional client experience.

- Phones, mailing, appointment setting

Operational/Technology Support:

- Technology Suite: Macbook/Apple hardware, Ring Central, Google Suite, CRM (Wealthbox), Docusign and proprietary custodian portals

- Build office processes and procedures centered on client tracking, retention and company growth/scalability.

- Track upcoming client contract anniversaries and touchpoints, RMDs, and review dates to ensure proactive service.

Success Factors:

The Office Manager must possess, achieve and deliver each task above successfully. The below expectations will be continuously reviewed and managed:

- Strong attention to detail, ability to transcribe client information accurately

- Strong technical proficiency in Macbook and G-Suite (Google Drive and Google Sheets)

- Ability to take initiative and improve existing processes

- Ability to learn and navigate office softwares (RingCentral, Wealthbox, Docusign, etc)

- Understanding of insurance and financial services industry

- Relationship management

- Prepare pre-meeting summaries or reports for the advisor, including account values, policy details, and relevant action items.

- Maintain a dashboard or spreadsheet for pipeline tracking: pending applications, transfer status, follow-ups, etc.

What you bring:

- 5+ years of experience in an administrative or client services function

- Strong working knowledge of Microsoft/Google Office Suite/Apple products

- Proven ability and continued interest working in a small team-based environment with multiple changing responsibilities and accountability

- Ability to wear many hats and think critically about processes and procedures

- Proven experience with client relations and/or relationship building

- Proven experience providing exemplary verbal and written communication

Pay: $32.00 - $36.00 per hour
