Pay: $18.00 – $26.00 per hour (based on experience)
Location: Bay City, MI (In Person)

Job Description

Bierlein-Trombley Electric (BTE) is seeking an organized, proactive, and solutions-oriented Operations Coordinator to support our growing Traverse City branch while assisting with administrative operations across the company.

This role is ideal for someone who thrives on helping others succeed, enjoys coordinating many moving pieces at once, and takes ownership of tasks without needing constant direction.

The primary responsibility of this position is supporting the Traverse City Branch Manager and team by handling administrative, scheduling, customer service, permitting, and operational coordination duties. By taking ownership of these responsibilities, this person allows our field leaders to focus on customers, jobsite visits, team development, estimating, and business growth.

Key Responsibilities

Traverse City Branch Support (Primary Focus)

Serve as the primary administrative support person for the Traverse City Branch Manager and field team
Assist with managing calendars, scheduling priorities, and administrative follow-up items
Track outstanding customer requests, job issues, and open action items until resolved
Monitor email communications and assist with follow-up on pending items
Coordinate schedules and job flow using BuildOps
Ensure jobs are properly set up and maintained within company systems
Support technician dispatching and scheduling coordination
Ensure required information is available for field personnel before work begins
Track open quotes and proposals, ensuring they are assigned and progressing
Follow up with estimators, project managers, and customers regarding quote status
Ensure signed contracts and approved proposals are received and documented
Support timecard review and approval processes
Monitor job progress and communicate potential delays or issues
Assist with job closeout, customer follow-up, and billing readiness
Request and track customer reviews upon project completion

Permitting & Utility Coordination

Pull permits when required, ensuring correct jurisdiction, forms, and documentation
Coordinate inspections with municipalities, customers, contractors, and field personnel
Coordinate utility disconnects, reconnects, and new service requests
Manage Miss Dig requests for underground work
Track permit, inspection, and utility status to avoid project delays

Customer Service & Office Support

Answer incoming phone calls and route customers to the appropriate team member
Serve as a professional point of contact for homeowners, builders, contractors, vendors, and utility companies
Respond to customer inquiries and assist with scheduling requests
Greet walk-in customers and visitors
Order office supplies and maintain office resources
Perform general office administration and data entry
Assist with miscellaneous administrative tasks that help keep operations running smoothly

Bay City Team Support (Secondary Focus)

When Traverse City administrative responsibilities are under control, this position will assist the Bay City team with:

Permit applications and coordination
Miss Dig requests
Inspection scheduling
Utility coordination
Administrative project support
Customer communication
General office operations
Other duties that support company efficiency and customer service

Qualifications & Experience

Prior experience in service coordination, dispatching, construction administration, office management, or a trades-related environment preferred
Strong organizational and multitasking abilities
Proven ability to take initiative and solve problems independently
Comfortable working in a fast-paced environment with changing priorities
Strong customer service and communication skills
Experience with permits, inspections, utilities, scheduling, or construction operations is a plus
Proficient with Microsoft Office and CRM systems
Familiarity with BuildOps or similar software is preferred
Familiarity with AI tools such as Copilot or ChatGPT is a plus
High attention to detail
Self-motivated, dependable, and accountable
Valid driver's license

What Success Looks Like

The Traverse City Branch Manager spends more time in the field, with customers, and growing the branch
Jobs move smoothly from customer request to completion
Quotes, permits, inspections, and paperwork do not fall through the cracks
Customers receive timely communication and excellent service
Completed jobs are closed out quickly and billed promptly
The Bay City office has additional support for administrative tasks and overflow responsibilities
