Your Specific Responsibilities:

The Florida Department of Health in St. Johns County (FDOH-SJC) is part of a statewide public health system.
This is an independent position that provides operational support for FDOH-SJC Administration as well as other departments. This position requires coordination and communication between all areas of FDOH-SJC.
Serves as the frontline staff person to greet visitors into FDOH-SJC and the Administration Department. Duties include but are not limited to:
Answering phones and assisting visitors
Providing excellent customer service in-person and on the phone
Completing data entry daily
Running reports as requested
Completing proper procedures for package and mail receipt as well as distributing to the appropriate department of FDOH-SJC.
Preparing outgoing mail per procedure.
Logging medications that are received and notifying clinical staff
Processing Form DH 680, Florida Certification of Immunization request and entering data
Assisting with the preparation of documents for reports and grand deliverables
Maintaining an effective, up-to-date record retention/filing system for Administration
Assists the Finance and Accounting Department with administrative support tasks. Duties include but are not limited to:
Prepares check/cash mail for FDOH-SJC while ensuring accountability and proper distribution
Processes monthly vehicle logs mileage/fuel and department usage for each FDOH-SJC vehicle
Maintains Purchase Orders binder for receiving accuracy
Receives items purchased for all departments, confirms quality and completeness, processes invoices/packing slips per proper procedures and receives items in appropriate online system
Logs all interoffice checks received from State of Florida Central Office for Accounts Payable
Assists the Women, Infants, Children (WIC) departments with administrative support tasks. Duties include but are not limited to:
Checking daily FL Wise for staff compliance access monitoring report and enter data in WIC spreadsheet
Verifying training codes in appropriate training system are correctly identified in staff training log
Collating WIC reports in the appropriate binders
Creating new WIC client packets
Creating Farmer’s Market brochures
Assists the Ryan White Program with administrative support tasks. Duties include but are not limited to:
Scanning confidential client documentation, new intakes or updated registration forms into the appropriate system(s)
Uploading data/documents into appropriate system(s)
Returning and handling documentation appropriately to ensure confidentiality
Tracking data per request
Performs support functions for all FDOH-SJC departments. This includes but is not limited to:
Working with clients and vendors
Assisting with projects
Participating in meetings and trainings
Completing meeting minutes
Performs other duties as assigned.

Qualifications:
Licensure/registration/certification requirements (If applicable, list the appropriate Florida Statute or federal regulation cite): valid Florida driver’s license.
Other job-related requirements for this position: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
