Full Job Description

ABOUT THE ROLE

We are a top-producing real estate team serving Northeast Florida across six counties. We’re a high-volume, fast-moving operation built on exceptional client relationships, sharp marketing, and airtight systems — and we’re looking for the person who keeps all of it running.

As our Executive Administrative Assistant, you’ll be the operational backbone of the team. You’ll work directly alongside Shelby, managing the details that make the difference between a good client experience and an unforgettable one. This role is equal parts organization, communication, and anticipation — you’ll need to think three steps ahead, act with discretion, and take genuine ownership of the business running smoothly.

This is not a passive role. We want someone who sees a gap and fills it, flags a problem before it becomes one, and takes pride in the behind-the-scenes work that drives results on the front end.

WHAT YOU’LL DO

Operations & Transaction Support

Own the lead agent’s calendar, inbox, and scheduling — protecting time for income-producing activities
Coordinate with transaction coordinators, lenders, inspectors, title, and attorneys to keep every closing on track
Track contract deadlines and compliance items with zero margin for error
Maintain organized digital filing systems for contracts, client records, and team documents
Assist with expense tracking, budgeting, and light bookkeeping tasks

Client Experience

Deliver a concierge-level experience to buyers and sellers before, during, and after closing
Prepare weekly seller updates and manage client communications on behalf of the team
Coordinate client gifts, events, and follow-up systems that drive our referral-based business
Anticipate needs — clients’ and Shelby’s — and solve problems before they surface

Marketing & Brand Execution

Manage social media accounts across platforms: content creation, scheduling, and engagement in line with team branding
Coordinate email campaigns, newsletters, and database touchpoints
Support planning and logistics for client appreciation events, open houses, and broker’s opens
Maintain and update listing presentations, buyer/seller guides, and marketing collateral
Track marketing performance and flag opportunities for improvement

Team & Systems

Serve as the communication hub for the team — keeping priorities clear and tasks moving
Support onboarding of new team members and contractors
Document, refine, and improve systems, checklists, and processes for consistency and scale

WHO YOU ARE

Proven experience as an executive assistant, real estate assistant, or operations manager (real estate background strongly preferred)
Exceptionally organized with sharp attention to detail — nothing falls through the cracks on your watch
Strong written and verbal communicator with a professional, polished, client-facing presence
Proficient with Google Workspace, Canva, CRM platforms (Command, KVCore, Follow Up Boss), and MLS systems
Comfortable with social media and digital marketing; you understand what on-brand looks and sounds like
Trusted with sensitive information — discretion is non-negotiable
A proactive problem-solver who doesn’t wait to be told what needs to be done
Energized by a fast-paced, deadline-driven environment where no two days are the same

$22.00 – $28.00 per hour, commensurate with experience
