Full Job Description

KA Security is a third-generation, family-owned company continuing our hard-earned growth in the security and life-safety industry. We're looking for a Scheduling Coordinator to play a key role in the daily operations of our Alarm Department.

This position works directly alongside our Operations Manager, Department Managers, technicians, and customers to coordinate the daily flow of work. The right person will quickly become a trusted resource for the operations team, helping ensure exceptional service while supporting the continued growth of VKA Security. As the company grows, this role offers the opportunity to take on additional operational responsibilities.

Responsibilities

Coordinate the daily schedules and workflow of our Alarm Department to ensure technicians are operating as efficiently as possible.
Work closely with the Operations Manager, Department Managers, technicians, sales team, and customers to keep work moving smoothly from start to finish.
Schedule service calls, installations, inspections, emergency service, and project work while balancing technician workloads and customer priorities.
Communicate professionally and proactively with customers regarding appointments, scheduling updates, and project expectations.
Monitor the daily schedule, adjusting priorities as new service requests, emergencies, and changes arise.
Ensure work orders, customer information, scheduling details, and job documentation are accurate, complete, and up to date.
Coordinate with multiple departments to support efficient job execution and an exceptional customer experience.
Anticipate scheduling conflicts, identify operational challenges, and work with leadership to resolve issues before they impact customers.
Support the Operations Manager and Department Managers with administrative coordination, reporting, and day-to-day operational needs.
Continuously look for opportunities to improve processes, communication, and overall department efficiency.
Build strong working relationships with both office staff and field technicians to help create a positive, team-oriented culture.

Qualifications

2+ years of scheduling, dispatch, operations coordination, project coordination, or customer service experience preferred.
Outstanding organizational and time management skills.
Ability to prioritize multiple responsibilities in a fast-paced environment.
Strong communication skills with customers, technicians, and leadership.
High attention to detail and strong computer proficiency.
Experience in security, HVAC, construction, electrical, plumbing, or another field service industry is preferred.
Experience with Service Fusion or similar field service software is a plus.
Self-motivated, dependable, and someone who naturally takes ownership.
A positive attitude with a desire to continually learn and improve.
