Job Title: Community Association Collections / Legal Assistant

Location: Ponte Vedra Beach
Job Type: Full-Time

About the Position

We are seeking a detail-oriented and highly organized Community Association Collections / Legal Assistant to join our growing team. This position plays a critical role in managing community association collection matters from initial intake through pre-litigation processing. The ideal candidate will possess strong mathematical and accounting skills, including experience reviewing general ledgers, reconciling account balances, and accurately calculating payoff amounts between client records and firm accounting records.

Prior experience in collections, bookkeeping, property management, legal support, accounts receivable, or community association management is preferred but not required.

Key Responsibilities

Open and process new collection files, including initial case intake and file setup.
Request and obtain necessary documentation from management companies and Boards of Directors.
Draft client correspondence and collection-related letters.
Review and interpret account ledgers and payment histories.
Calculate accurate payoff amounts using law firm and management company records.
Respond to client inquiries, management company requests, and debtor/owner communications.
Process and respond to payoff requests.
Answer incoming telephone calls and assist with account-related questions.
Maintain detailed account histories, file notes, and records of all actions and communications.
Manage pre-litigation collection files and ensure timely follow-up on outstanding matters.
Coordinate communication between attorneys, staff, clients, and management companies.
Communicate case status and collection activity to clients and management companies.
Ensure accuracy and compliance in all file management and documentation processes.
Provide exceptional customer service while maintaining professionalism in sensitive collection matters.Qualifications
High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Experience in collections, accounts receivable, bookkeeping, legal administration, property management, HOA/COA management, or a related field is a plus.
Strong mathematical skills with the ability to calculate balances, interest, fees, and payoff amounts accurately.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and deadlines simultaneously.
Proficiency with Microsoft Office, including Outlook, Word, and Excel.
Professional telephone etiquette and customer service skills.
Ability to work independently and collaboratively within a team environment.
Experience with case management software is a plus.

Preferred Skills

Bookkeeping or accounting experience.
General ledger experience, including account reconciliation and balancing financial records
Ability to identify and resolve accounting discrepancies and balance variances.
Knowledge of community association (HOA/COA) collections.
Legal office or collections experience.
Strong problem-solving and analytical abilities.
Ability to maintain confidentiality and handle sensitive information professionally.
