Office Administrator (St. Charles, MO)

Full-time | On-site at our St. Charles office | $44,000 to $49,000 per year

Who we are

Best Choice Roofing of Greater St. Louis is a locally owned residential exterior replacement company covering homes across the greater metro. We replace roofing, siding, gutters, soffit, and fascia.

We are Owens Corning Platinum Preferred, one of only a handful in our service area, which means stronger warranties and certifications most local shops cannot offer. We run the national Best Choice Roofing brand for buying power and product backing, and the owner is local and involved. You get the benefits of both.

We hold a 4.9 rating and the recognition to back it: 2026 Small Business of the Year from the St. Charles Regional Chamber, St. Louis Magazine A-List finalist, Thumbtack Top Pro, and Angi Super Service Provider. That reputation came from honest estimates and clean work, not pressure.

The role

You are the operational hub of the branch. Sales sells and crews install; you make sure everything in between actually happens: contracts get entered right, insurance money gets tracked and collected, checks get deposited, subs get paid, permits and licenses stay current, and the books stay clean.

Two things make this role different from the average admin job:

You are joining a system that works. We have had tremendous growth since opening 3 years ago and this is a chance to add your skills and personality to help accelerate faster.
The role currently includes the bookkeeping. We may move some accounting work to an outside bookkeeper down the road. Until then it is yours, and even if it moves, you will remain the person who feeds it: source documents, customer payments, and deal accuracy stay in this seat. If you like owning numbers end to end, this is a feature, not a bug.

What you will own

Office and customer experience

Answer inbound calls and be the voice homeowners trust
Ongoing homeowner communication through the job lifecycle, review asks, and warranty registration and service-call intake

Insurance claim administration

Build and file depreciation packets with insurance carriers and follow them to payment
Log approved supplements and invoice them
Process insurance and mortgage checks through our digital endorsement platform, including multi-party signatures and mortgage company mail-outs

Contracts and financing

Review signed contract packets for accuracy (numbers, signatures, commission sheets) and enter invoices
Enter project details for financed jobs and track loans through funding

Compliance and licensing

Track contractor licenses, municipal permit and license requirements, and renewals
Certificates of insurance (ours out, subs' in), registered agent and annual entity filings, and document gathering for general liability and workers comp audits

Subcontractors and HR

Onboard W-2 employees and 1099 subcontractors in ADP (new-hire paperwork, I-9s, W-9s, direct deposit setup)
Weekly sub payments and year-end 1099 support

Accounting (currently in this role; may partially transition to an outside bookkeeper)

QuickBooks Desktop: vendor bill entry, credits, and accounts payable
Customer payments, remote check deposits, and bank deposit recording
Credit card and bank reconciliation, month-end close prep for the CPA
Payroll reports and payroll-to-bank reconciliation
Job costing support for weekly accounts payable meetings

The systems you will live in

JobNimbus (CRM), QuickBooks Desktop Enterprise (required, see below), ADP, GoodLeap, iink, Roofr, CompanyCam, Google Workspace, and business banking. Prior experience with the these is a plus, not a requirement.

Who you are

Detail-obsessed. You catch the $870 applied to the wrong invoice, and it bothers you until it is fixed
Organized enough to run a paper system and a digital system in parallel without dropping either
Comfortable on the phone with homeowners, insurance adjusters, and suppliers, including the awkward calls about money owed
Grounded in bookkeeping fundamentals: AP, AR, reconciliation
QuickBooks Desktop experience required. We run QuickBooks Desktop Enterprise for the time being, not QuickBooks Online, and you need to be productive in it from week one
Discreet. This seat touches payroll, banking, and customer financial information every day
Self-managing. You bring solutions, not just problems, and you keep a checklist honest

Roofing, construction, or insurance restoration experience is a plus, not a requirement. Character and precision beat industry background here; the industry can be taught.

Pay, schedule, logistics

$44,000 to $49,000 per year, based on experience

Monday through Friday, 8am to 5pm, on-site at our St. Charles office
