Full Job Description

JOB OVERVIEW:
The Administrative Assistant provides support to the Lead Pastor, helping maximize efficiency and effectiveness by executing the daily operations of the office/church, performing administrative and communication tasks, ensuring the office runs smoothly and professionally, maintaining a welcoming presence for visitors and members, and providing support to ministry teams. The Administrative Assistant plays a vital role in aligning people, systems, and communication to support a healthy, thriving church.

The ideal candidate brings 2+ years of experience in administration, operations, communications, and computer/online skills. This person is proactive in problem-solving, detail-oriented, highly trustworthy, teachable, flexible, has a good attitude, and can manage multiple priorities with minimal supervision.

This is a Salaried Full-time position of 40 hours/week. The compensation for the position will be commensurate with experience, qualifications, and demonstrated ability.

The Administrative Assistant is responsible for the specific responsibilities listed below, and any other duties assigned by the Lead Pastor.

· ADMINISTRATIVE MINISTRY SUPPORT

o Office Management

o Assist the Lead Pastor in carrying out assigned administrative and ministry duties.

o Provide administrative support to ministry staff, leaders, and volunteers.

o Assist in scheduling meetings and the use of the facility.

o Maintain confidentiality of all church records.

o Help in preparing reports for church-wide meetings.

o Ensure compliance with church policies and administrative procedures.

o Organize and maintain the church’s database in the Church Center App.

o Support the Lead Pastor in the daily running and management of the office.

o Process all incoming correspondence and bills.

o Answer phone calls and respond to emails warmly and professionally.

o Coordinate and manage the church’s event calendar.

o Handle inventory and ordering of church office equipment and supplies.

o Coordinate the set-up and maintenance of church files.

o Manage the office budget in coordination with the Lead Pastor.

o Keep the office area organized and welcoming.

o Create systems for efficient office communication and job productivity

o Communication/Coordination

o Design and produce communication graphics for bulletins, newsletters, brochures, and other special events.

o Coordinate volunteer scheduling, communication, and correspondence.

o Manage and utilize the church Apps to effectively communicate and connect with the church family in coordination with the Lead Pastor.

SKILLS AND QUALIFICATIONS

o Proficiency in computer and online apps/tools, technology, and phone skills.

o Able to get tasks done with little or no supervision.

o Excels in writing and editing skills.

o Able to maintain high standards of confidentiality.

o Flexible and able to adapt and work on multiple concurrent projects.

o Ability to work independently or collaboratively as a member of a team.

o High level of experience with computers and online systems such as Excel, Word, PowerPoint, Adobe, Canva, and Outlook.

o Knowledgeable with design software such as Canva.

o Experience with office and church systems is necessary.

PERSONAL QUALIFICATIONS:

o A mature follower of Jesus Christ

o Attends Discovery Church and embraces its Vision, Mission, Values, Statement of Faith, and Constitution, which aligns with the Evangelical Faith tradition.

EDUCATION & EXPERIENCE:

o Undergraduate Degree preferred. Equivalent work experience is acceptable

o At least two years of Administrative work experience is preferred.

PHYSICAL DEMANDS

o Able to sit or stand for long periods

o Able to lift up to 20 pounds
