Full Job Description

Complete Management Solutions (CMS) is a provider of onsite, workplace support Services. These services include, but are not limited to document services, mail services & reception services. At CMS we aim to deliver exceptional client experiences keeping our clients workplace working!

We are currently looking for a Administrative Associate/Bookkeeper to be responsible for a high end client of ours in Saint Petersburg Florida .Our ideal candidate should be customer focused, hard-working, able to multi task and reliable.

Responsibilities:

Supports Workplace Services and Facilities teams providing administrative and bookkeeping support.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Maintain a professional and welcoming front office environment by assisting visitors, tenants, and employees while coordinating front office operations, tenant support, and phone coverage.
Support calendaring and conference room meeting coordination and logistics.
Provide administrative and basic bookkeeping support to Facilities Manager and Supervisor.
Process invoices and purchase orders, maintaining accurate and organized records and workflows.
Track, monitor, and maintain facilities work requests to ensure timely resolution.
Generate reports, dashboards, and graphs as needed to support operational decision-making.
Serve as a point of contact for vendors, contractors and service providers.
Order, inventory, and maintain office and facility supplies.
Adhere to all safety and health rules and regulations as directed by Leadership.
Comply and follow all procedures within the company security policy.
Actively embraces additional responsibilities and special assignments to support business objectives, team success, and career development.

JOB QUALIFICATIONS

Ability to be efficient in time management and have excellent organizational skills.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Be able to define problems, collect data, establish facts, and draw valid conclusions.
Operate a personal computer including using a Windows based operating system and related software.
Must have advanced PC skills, including training and knowledge of software packages.
Read and understand visual aid effectively and be able to write proper correspondance.
Use and apply common sense understanding to carry out simple one- or two-step instructions.
Be able to deal with standardized situations with only occasional or no variables.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
