Overview

Office Manager / Entry-Level Paralegal

Do you know a recent graduate looking for entry level legal experience?

Deiss Law PC is seeking an organized, dependable, and professional Office Manager/ Entry-Level Paralegal to support the day-to-day operations of our busy litigation practice. This is a great starting opportunity for a recent graduate or early-career professional who is eager to learn, gain hands-on legal experience, and develop strong administrative and professional skills.

The position is well suited for someone who enjoys keeping an office organized, assisting attorneys and staff, communicating with clients, and ensuring that administrative tasks are completed accurately and on time. Prior law-firm experience is helpful but not required. We are willing to train the right candidate who demonstrates initiative, professionalism, attention to detail, and a genuine willingness to learn.

Although the position includes paralegal and case-support responsibilities, a substantial portion of the role involves office administration, scheduling, client communication, document management, and general operational support. The ideal candidate is flexible, proactive, comfortable shifting between administrative priorities while learning the paralegal ropes, and willing to assist wherever needed.

Primary Responsibilities

Sit at the front desk to greet people who come in.
Answer and route incoming telephone calls and greet clients and visitors.
Manage attorney calendars and schedule meetings, hearings, depositions, and conference calls.
Monitor main office email accounts and ensure important communications are directed to the appropriate team member.
Assist with new-client intake, including gathering preliminary information, scheduling consultations, and opening new matters.
Maintain organized electronic and physical case files.
Draft and revise routine correspondence, notices, certificates of service, and other basic legal documents.
Track court deadlines, discovery deadlines, hearings, and internal assignments.
Coordinate with clients, opposing counsel, courts, mediators, process servers, and other third parties.
Prepare documents for attorney review, signature, filing, or mailing.
Assist with scanning, copying, printing, mailing, record organization, and document production.
Order office supplies and help maintain an organized and professional office environment.
Support billing, records management, vendor coordination, and other administrative functions as assigned.
Provide general support to attorneys, non-admin paralegals, law clerks, and staff based on the needs of the firm.

Qualifications

Bachelor’s degree, associate degree, paralegal certificate, or comparable professional experience preferred.
Knowledge of AI and someone who is tech savvy is a plus!
Recent graduates and applicants beginning their careers are encouraged to apply.
Prior experience in a law firm, professional office, administrative position, or client-service role is helpful but not required.
Strong organizational skills and attention to detail.
Professional written and verbal communication skills.
Ability to manage multiple assignments and changing priorities.
Comfortable answering phones and communicating directly with clients.
Familiarity with Microsoft Word, Outlook, Adobe Acrobat, or electronic file-management systems is preferred.
Ability to handle confidential and sensitive information with discretion.
Reliable, punctual, and willing to take ownership of routine office responsibilities.
Positive attitude, strong work ethic, and willingness to learn.
Willingness to assist with both legal and administrative work.

Pay: $25.00 - $30.00 per hour
