Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting staff, and providing exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to foster a productive and welcoming workplace. As an Office Manager, you will play a key role in managing office procedures, coordinating schedules, and ensuring all administrative tasks are executed with precision and professionalism.

Duties

Manage daily office operations, including overseeing front desk activities and maintaining a professional reception area
Coordinate calendar management, scheduling meetings, appointments, and events efficiently
Handle correspondence via phone, email, and written communication with clients, vendors, and staff
Maintain accurate records through data entry, filing systems, and updating spreadsheets using productivity software such as Microsoft Office
Utilize multi-line phone systems to answer inquiries promptly while practicing excellent phone etiquette
Oversee office supply inventory and place orders to ensure all departments are well-equipped
Support bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record-keeping
Assist with onboarding new employees by managing office paperwork and providing orientation support
Provide exceptional customer service by addressing visitor inquiries and supporting client communication efforts

Requirements

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management
Technical proficiency with computer literacy including data entry, word processing, and file management
Experience using QuickBooks or similar accounting software is highly desirable
Excellent communication skills—bilingual abilities are a plus—along with professional phone etiquette
Demonstrated ability to multitask efficiently while managing time effectively in a fast-paced environment
Strong clerical experience including filing, proofreading, calendar management, and document preparation
Customer service orientation with the ability to handle front desk responsibilities confidently
Knowledge of multi-line phone systems and office equipment operation
Personal assistant experience or previous roles involving calendar coordination is advantageous
