OFFICE MANAGER – Medical Clinic & MedSpa

We are seeking a highly organized, proactive Office Manager to oversee the daily operations of our medical clinic and medspa. This role is ideal for someone who thrives in a fast-paced, patient-focused environment and can balance both the clinical structure of a medical practice and the service-driven experience of a medspa.

The ideal candidate is a strong leader, problem-solver, and team player who can manage staff, optimize workflows, and ensure a seamless experience for patients from initial inquiry through treatment and follow-up. You must be adaptable, solutions-oriented, and comfortable leading in a dynamic environment.

REPORTS TO: Practice Owner REQUIREMENTS

Minimum 4+ years of experience in a medical clinic and/or medspa setting
Minimum 2+ year in a supervisory or management role

KEY RESPONSIBILITIES

Oversee and manage day-to-day operations of both the medical clinic and medspa
Ensure a seamless and professional patient experience from check-in to check-out
Lead, train, and manage front desk and administrative staff to maintain high performance
Coordinate provider schedules to maximize efficiency and patient flow
Monitor and improve KPIs such as scheduling efficiency, patient retention, and overall clinic performance
Manage accounts receivable/payable, collections, and financial tracking
Assist in preparing and reviewing financial and operational reports
Ensure compliance with HIPAA and all patient data regulations
Maintain the appearance, cleanliness, and functionality of the clinic
Support and execute marketing initiatives and promotions to drive patient volume
Handle patient concerns and inquiries with professionalism and urgency
Collaborate with providers to ensure optimal productivity and patient outcomes

IDEAL CANDIDATE WILL HAVE

Strong understanding of both medical clinic operations and medspa workflows
Experience in a service-oriented and performance-driven environment
Experience generating and analyzing management and operational reports
Excellent leadership and communication skills
A proactive mindset with the ability to solve problems quickly and effectively

QUALIFICATIONS

Minimum 4 years of office management experience (medical clinic and/or medspa preferred)
Strong customer service and patient experience background
Proficient with computers, EMR systems, CRM platforms, and scheduling software
Exceptional organizational and multitasking abilities
Positive, energetic personality with a lead-by-example leadership style
Bachelor’s or Associate’s Degree preferred
