Full Job Description

Complete Line Glass is seeking a highly organized, detail-oriented Accounts Payable Specialist to support the company’s financial operations and ensure accurate, timely processing of vendor transactions and fixed asset tracking.

This is a hands-on role that goes beyond basic data entry. The Accounts Payable Specialist is responsible for managing the full lifecycle of invoices from receipt and verification to payment and reconciliation while maintaining strong vendor relationships and ensuring compliance with company policies.

You will play a critical role in keeping financial records accurate, supporting internal teams, and ensuring vendors are paid according to agreed terms.

Responsibilities

Collect, sort, and distribute incoming invoices and vendor documents to appropriate managers for approval and coding
Review approved invoices for proper authorization and accurate account classification
Match invoices to corresponding purchase orders and verify all supporting details
Identify, review, and reconcile invoice and purchase order discrepancies
Ensure expenses are coded correctly in alignment with the company chart of accounts
Accurately enter and process invoices within the accounts payable system
Prepare weekly check runs and submit for approval
Distribute approved vendor payments in a timely manner
Monitor and track vendor discount terms to maximize cost savings opportunities
Communicate with vendors to resolve discrepancies and respond to inquiries promptly
Ensure all transactions comply with company financial policies and procedures (tax exemptions, approvals, documentation, etc.)
Maintain accurate and complete vendor records, including W-9s, 1099 status, contact information, and payment terms
Track and maintain fixed asset records as required

Daily Workflow Expectations

This role follows a structured, high-accuracy workflow, including:

Reviewing and processing incoming invoices daily
Prioritizing payments based on due dates and discount opportunities
Coordinating approvals with internal teams
Reconciling discrepancies and resolving issues proactively
Maintaining organized and up-to-date financial records
Ensuring all entries and transactions are accurate and compliant

Required Skills & Experience

Prior data entry and accounts payable experience required
Strong organizational skills with the ability to manage multiple tasks simultaneously
High level of accuracy and attention to detail
Strong analytical and problem-solving abilities
Professional communication and customer service skills
Ability to work effectively in a fast-paced, high-volume environment
Proficiency in Microsoft Office and other accounting systems
