Job Description: Project Coordinator / Project Administrator

Position Summary

The Project Administrator provides comprehensive administrative and operational support to the Project Management team throughout the lifecycle of commercial millwork and construction projects. This role is responsible for maintaining project information within Innergy ERP software, coordinating project documentation, facilitating communication between departments, and ensuring projects remain organized, accurate, and on schedule.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where multiple projects are managed simultaneously. This position serves as a critical liaison between Project Managers, Engineering, Estimating, Production, Purchasing, Accounting, Installation, and clients.

Essential Duties & Responsibilities

Project Coordination

Provide day-to-day administrative support for multiple Project Managers.
Assist with project startup, execution, and closeout activities.
Coordinate project schedules, milestones, and deliverables to support timely project completion.
Track outstanding action items and follow up with internal departments and external partners.
Monitor project documentation to ensure accuracy and completeness.
Coordinate shipments and samples

Innergy ERP Administration

Create and maintain project records, change orders, subcontracts, purchase orders, and work orders within Innergy ERP software, and Sage Software.
Enter and update work orders, change orders, purchase orders, budgets, job costing information, and project documentation.
Maintain project logs, RFIs, submittals, transmittals, and correspondence within Innergy.
Generate reports to support Project Managers in monitoring project status, budgets, schedules, and financial performance.
Ensure project data is accurate, current, and consistent throughout the project lifecycle.
Coordinate and cross check Innergy Data with Sage Software, to ensure data matches.

Documentation & Contract Administration

Coordinate document distribution between clients, architects, general contractors, vendors, subcontractors, and internal teams.
Maintain electronic project files in accordance with company standards.
Assist in tracking contract documents, insurance certificates, permits, and compliance documentation.

Financial & Administrative Support

Assist with project billing documentation and payment applications.
Support Project Managers by tracking budgets, committed costs, and change orders.
Review invoices and purchase orders for accuracy prior to processing.
Prepare project reports for management as requested.

Communication

Serve as a primary point of contact for internal project communications.
Maintain professional communication with clients, subcontractors, vendors, architects, and general contractors.
Escalate project issues or scheduling conflicts to Project Managers as appropriate.

Qualifications

Associate's degree in Business Administration, Construction Management, or related field preferred, or equivalent work experience.
Minimum of 2 years of project administration, project coordination, or construction administration experience.
Experience in commercial construction, architectural millwork, casework, cabinetry, or specialty trades strongly preferred.
Experience using Innergy ERP software is highly preferred.
Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word.
Experience working with construction documentation, project schedules, contracts, and change orders.
Strong organizational and multitasking abilities with exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple projects simultaneously while meeting deadlines.

Preferred Skills

Understanding of commercial construction project workflows.
Knowledge of architectural drawings, specifications, and submittal processes.
Familiarity with AIA contract documentation.
Experience supporting Project Managers in a manufacturing or custom millwork environment.
Ability to analyze project information and proactively identify discrepancies before they impact schedules or budgets.

Pay: $55,000.00 - $68,000.00 per year
