Medical Office Administrative Assistant

Retina and Dermatology Practice | Full-Time Opportunity

Job Summary

We are seeking a highly organized, dependable, and patient-focused Medical Office Administrative Assistant to support our growing retina and dermatology practices. This role is essential to maintaining efficient daily operations and delivering an excellent experience for patients, physicians, and staff.

The ideal candidate is professional, detail-oriented, comfortable working in a fast-paced medical environment, and able to take ownership of administrative tasks. Experience with medical billing, patient accounts receivable, insurance balances, or collecting patient payments is a significant advantage.

This position may be structured as a paid internship or full-time employment opportunity, with room for increased responsibility and professional growth.

Responsibilities

Welcome patients and visitors with professionalism, warmth, and discretion.
Answer and route telephone calls, respond to patient inquiries, and communicate clearly with patients, pharmacies, referring offices, and insurance representatives.
Schedule and confirm appointments while maintaining accurate patient and provider calendars.
Register patients, verify demographic and insurance information, and update electronic health records.
Review patient balances, collect copayments and outstanding amounts, issue receipts, and assist with patient accounts receivable follow-up.
Help patients understand billing statements and direct complex billing or insurance questions to the appropriate team member.
Perform accurate data entry using electronic health record systems, spreadsheets, Microsoft Office, and other practice software.
Scan, organize, and maintain medical, financial, and administrative records in accordance with patient privacy requirements.
Assist with referral coordination, medical-record requests, incoming faxes, prior authorization documentation, and correspondence with outside offices.
Support inventory management, supply ordering, office organization, and equipment maintenance.
Assist with document preparation, reporting, bookkeeping support, and other administrative projects as assigned.
Protect confidential patient and business information and follow all clinic policies and HIPAA requirements.

Qualifications

Previous experience in a medical office, healthcare setting, front-desk position, or administrative role is preferred.
Experience with patient accounts receivable, medical billing, insurance follow-up, payment collection, or patient statements is a major plus.
Strong customer-service skills and the ability to communicate compassionately with patients who may be elderly, visually impaired, anxious, or experiencing complex medical conditions.
Excellent organizational skills, reliability, and attention to detail.
Ability to prioritize responsibilities and remain composed in a busy clinical environment.
Proficiency with Microsoft Word, Excel, Outlook, and digital office systems.
Experience with an electronic health record or practice-management system is preferred.
Experience with QuickBooks or similar accounting software is helpful but not required.
Strong typing, data-entry, telephone, and written communication skills.
Bilingual abilities are a plus.
A proactive attitude and willingness to learn new responsibilities across both ophthalmology and dermatology operations.
