Business Operations Manager

Location: San Diego, California (On-Site with occasional travel)

Employment Type: Full-Time

Position Summary

The Business Operations Manager serves as a trusted operational partner to executive leadership

across a portfolio of federal government contractor clients. Working directly with company owners

and executive teams, this position coordinates business operations, monitors strategic initiatives,

improves organizational processes, supports financial oversight, and promotes accountability

across multiple departments. Success in this position requires exceptional organization,

professionalism, sound judgment, and the confidence to respectfully hold leadership teams

accountable for commitments and deadlines.

Primary Responsibilities

Business Operations

Coordinate operational priorities across multiple client organizations.
Monitor strategic initiatives and ensure projects remain on schedule.
Track executive action items and follow up through completion.
Promote accountability by monitoring deadlines, deliverables, and organizational commitments.
Identify operational challenges and recommend practical solutions.
Assist clients in developing operational procedures and best practices.
Prepare executive summaries, operational reports, and dashboards.

Project Management

Coordinate initiatives from planning through implementation.
Maintain project schedules, milestones, and deliverables.
Organize executive meetings and document action items.
Ensure follow-up activities are completed on time.
Support operational transitions and organizational improvements.

Financial & Business Support

Assist clients in monitoring budgets and operational spending.
Review financial reports and operational metrics.
Support budgeting, forecasting, and business planning.
Monitor operational efficiency and contract profitability.
Coordinate with accounting teams.

Technology & Process Improvement

Identify opportunities for automation and process improvement.
Utilize Microsoft 365, Microsoft Copilot, ChatGPT, and related productivity tools.
Assist with software implementation and digital workflows.
Recommend practical technology solutions.

Leadership Support

Partner with executive leadership to improve accountability.
Coordinate performance review schedules.
Support executive recruiting and onboarding.
Prepare executive presentations and business reports.
Assist leadership teams in monitoring organizational goals.

Qualifications

Required

Bachelor's degree in Business Administration, Management, Finance, Accounting, or related field,

or equivalent experience.

Five or more years of experience in business operations, project management, office

management, management consulting, or operational leadership.

Strong organizational, analytical, communication, and Microsoft Office skills.
Experience coordinating multiple projects.
Ability to build productive relationships with executives, managers, and clients.

Preferred

Experience supporting federal government contractors.
Knowledge of government contracting operations and compliance.
Experience with facilities management or multi-location organizations.
Familiarity with project management software.
Experience using Microsoft Copilot, ChatGPT, or similar AI tools.
SharePoint or Power BI experience is a plus.
