Full Job Description

Saint Mark’s School is an independent Episcopal coeducational day school rooted in Altadena, California, and currently serving students from a temporary campus in Pasadena as the school rebuilds following the Eaton Fire. Founded in 1960, the school serves the needs of up to 350 Preschool through Sixth grade students from diverse ethnic, racial, religious, and economic backgrounds. Saint Mark’s mission is to develop the unique intellect and character of each student in a nurturing environment committed to academic excellence, respect for diversity, responsibility, and spiritual growth.

We are seeking a detail-oriented and organized Part-Time Project Administrator to support the project management team during the Saint Mark's Church and School campus rebuild. This is a remote position offering flexible scheduling within an estimated 15–20 hours per week and is considered non-exempt. This position reports to the Head of School and works closely with the Project Manager.

Position Type: Part-time (15-20 hours per week); Non-Exempt; primarily remote

Responsibilities

Support the Project Manager with day-to-day administrative tasks throughout all phases of design and construction
Maintain and organize project documentation, including contracts, submittals, RFIs, meeting minutes, and correspondence
Support communication and record keeping between the project leadership, contractors, design consultants, and others as needed
Help with, format, and distribute reports, and project updates
Manage document control and ensure files are properly named, organized, and archived
Schedule and coordinate meetings, support preparing agendas, and distribute minutes
Must attend virtual meetings and accurately record and distribute meeting minutes
Assist with invoice tracking, budget logs, and other project cost documentation as directed
Support permitting and closeout documentation as needed
Support other steering committee members with administrative needs as needed

Qualifications:

Prior experience in construction, architecture, or project management administration preferred
Strong written and verbal communication skills, clear, professional, and responsive
Exceptional organizational skills and attention to detail
Proficiency in Microsoft Office and Google Office Software
Ability to work independently and manage multiple priorities in a remote environment
Familiarity with construction document management is a plus
Project management skills or experience are a plus

Physical Requirements: This position is primarily performed remotely but may require occasional attendance at the school or other work locations for meetings, training, or special events. The position requires prolonged sitting, frequent computer use, and effective verbal and written communication. Occasional standing, walking, bending, and lifting or carrying materials weighing up to 20 pounds may be required during on-site work. The work is generally performed in a clean, hazard-free environment.

Job includes some lifting, carrying, pushing, and/or pulling; some climbing and balancing; some stooping, kneeling, crouching, and/or crawling; hearing, speaking, observing, and significant fine finger dexterity. Specific abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Generally, the job requires 50% sitting, 25% walking, and 25% standing and the ability to lift or move up to 50 pounds. The job is performed under minimal temperature variations, in a generally hazard-free environment, and in a clean atmosphere.

Hourly Rate: $30.00 - $38.00 per hour
