We're looking for a detail-oriented and proactive Part Time HR Administrative Assistant

The Part-Time HR Administrative Assistant provides confidential administrative support to the Human Resources department. This role is responsible for maintaining organized employee and HR records, supporting HR calendars, assisting with HR and safety projects, coordinating and leading employee and company events, communicating with HR contacts at other site(s), and providing general administrative support that helps ensure smooth and accurate operations.

From your EXPERTISE to ours

Key responsibilities for this position include:

Maintain, organize, and update confidential HR files, folders, and employee records.
Create new folders and document packets as needed for HR processes and projects.
Scan, file, copy, and route HR documents accurately and in a timely manner.
Assist with calendaring meetings, events, deadlines, trainings, and other HR-related activities.
Support, coordinate, and take the lead on employee and company events, including planning details, scheduling, communications, and follow-up.
Follow up on pending task items, outstanding documents, and administrative requests.
Coordinate with HR contacts at other site(s) to support task follow-up, reminders, completion tracking, and timely alignment of required paperwork and documentation with due dates and task deadlines.
Maintain Excel logs, reports, and tracking tools to monitor task status, deadlines, documentation completion, and follow-up items.
Provide general administrative support to the HR team, including data entry, document preparation, Excel log reports, tracking logs, and routine correspondence.
Support HR projects, safety projects, and related administrative needs as assigned.
Handle sensitive and confidential information with the highest level of discretion and professionalism.

From your STORY to ours

Qualified applicants will contribute the following:

Education

High school diploma, GED, or equivalent preferred

Experience

Prior administrative, office support, or HR support experience preferred.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks, follow up on pending items, and meet deadlines.
Comfortable working with documents, filing systems, scanners, calendars, email, and basic office software.
Professional communication skills and a service-oriented approach.
Experience using Microsoft Office, Outlook calendar, scanning equipment, shared drives, and basic HR or document management systems is preferred.
Must be dependable, punctual, and able to follow through on assigned tasks with minimal supervision.
Demonstrated ability to maintain strict confidentiality and exercise sound judgment.

Schedule and Work Arrangement

This is a part-time position. Specific workdays and hours may vary based on business needs and will be discussed during the hiring process.

Confidentiality

This position requires the utmost confidentiality due to access to sensitive employee, personnel, and business information. The successful candidate must demonstrate discretion, professionalism, and integrity at all times.

Specialized Knowledge

Knowledge of Word and Excel.
Skilled in Excel for data analysis, reconciliations, and reporting.

Skills/Abilities:

Ability to read, analyze, and interpret common reports and documents.
Must be self-motivated, organized and possess strong problem-solving skills.
Basic math skills (experience using a 10-key)
A curious self-starter, able to work independently without excessive oversight
An effective multi-tasker that can set priorities and schedule work activities.
Ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment.
Ability to effectively present information to management.
Good communication skills.
Familiarity with personal computers and MS Office Suite (Excel, Word, Outlook).
Ability to present, converse and report professionally to Lactalis Leadership.
Team work, good communication skills to work closely across departments.
Should possess strong communication and organization skills
Ability to manage multiple projects in a fast-changing environment.
Highly motivated, dynamic, efficient, and fast learning

Job Type: Part-time

Schedule:

Monday to Friday

(flexible for Saturday as business need may require)

Ability to commute/relocate:

San Fernando, CA 91340: Reliably commute or planning to relocate before starting work (Preferred)
