Compensation – Hourly + Bonus DOE

PRIMARY RESPONSIBILITIES INCLUDES:

Provide administrative support to Property Managers, including filing, drafting memos, scheduling, and general office duties.
Respond to tenant inquiries and coordinate timely resolutions to maintenance requests and concerns.
Manage the day-to-day coordination of work orders, tenant relations, and vendor communication.
Schedule and track preventative maintenance, routine building maintenance, and emergency repairs.
Serve as the primary point of contact between property management, tenants, and maintenance vendors.
Monitor and maintain records of key logs, certificate of insurance (COIs), and property information data sheets.
Track and process building-related invoices to ensure billing accuracy and timely reporting.
Support property managers with inspections, building access, and various special projects.
Generate accounts receivable reports, monthly rent increases and recurring charges, and late fee recommendations.
Process accounts payable invoices in Trimble and enter them into Yardi for each property.
Coordinate tenant bill-backs for services in accordance with lease terms.
Professionally and promptly answer incoming calls; make outbound calls for follow-ups or scheduling.
Escalate complex or unresolved issues to the appropriate manager in a timely manner.
Maintain accurate and up-to-date information in the work order management system.
Utilize Microsoft Office Suite and Outlook for correspondence, documentation, and reporting.

OTHER SKILLS:

Customer Service Skills - Ability to establish and maintain effective tenant relationships and deliver customer-centric solutions.
Organizational Skills - Time management and prioritization.
Communication Skills - Excellent verbal and written communication, active listening, and customer service skills for handling inquiries.
Technical Proficiency - Familiarity with office software like Microsoft Office Suite (Word, PowerPoint) with strong Excel skills and Outlook, and experience with Yardi preferred.
Attention to Detail
Problem-Solving Skills - Ability to handle unexpected issues with minimal guidance, creativity in finding solutions to operational challenges, and flexibility to adapt to changing priorities and tasks.
Interpersonal Skills - Team collaboration and interpersonal understanding, building good relationships with tenants and vendors, and ability to work with diverse personalities and across departments.
Resourcefulness and Proactivity - Anticipating the needs of the tenants and team members, ability to adapt to shifting priorities, proactively managing tasks without waiting for direction, and ability to foresee and prevent potential issues (Be proactive, not reactive).
Basic Accounting Knowledge (optional but beneficial) - Familiarity with accounts receivables and payables, and budgeting.

EXPERIENCE:

High school diploma/GED required.
2+ years of relevant experience in commercial real estate, or 3+ years in administrative support experience.
Experience with medical office buildings is a plus.
Yardi software experience strongly preferred.
General knowledge of building systems (HVAC, electrical, plumbing, fire/life safety, elevators, etc.) is a plus.
