Position Overview

We are seeking an experienced, friendly, and highly organized Medical Receptionist to become an integral part of our front office team in our Los Gatos clinic.

As the first point of contact for our patients, you will represent the face of Avita MD. The ideal candidate understands that exceptional healthcare begins with exceptional customer service. You will greet patients with warmth and professionalism, educate patients on office policies and insurance requirements, coordinate appointments, verify insurance eligibility, and ensure every patient receives an outstanding experience from check-in through check-out.

This is a fast-paced position requiring excellent communication skills, attention to detail, strong organizational abilities, and the ability to multitask while maintaining accuracy and professionalism.

Responsibilities

Welcome every patient and visitor with professionalism, warmth, and compassion.
Create an exceptional first impression while delivering outstanding customer service.
Perform patient check-in and check-out efficiently while ensuring all documentation is complete and accurate.
Verify patient demographics, insurance eligibility, benefits, referrals, prior authorizations, and financial responsibility before appointments.
Resolve insurance eligibility issues proactively to minimize delays in patient care and billing.
Collect copayments, deductibles, balances, and other patient payments accurately.
Schedule, reschedule, and confirm appointments while maximizing provider schedules and maintaining efficient patient flow.
Educate patients regarding insurance requirements, appointment preparation, referrals, laboratory orders, forms, follow-up visits, and office policies.
Accurately enter and maintain patient information within the Electronic Health Record (EHR).
Scan, upload, and organize medical records and incoming documents.
Coordinate communication between patients, providers, pharmacies, laboratories, imaging facilities, specialists, and insurance companies.
Maintain strict HIPAA compliance and protect patient confidentiality at all times.
Assist with general administrative duties including filing, faxing, scanning, inventory support, and other front office responsibilities.

Minimum Qualifications

Minimum of 1 year of recent experience as a Medical Receptionist in an outpatient medical practice is REQUIRED.
Experience in primary care, family medicine, internal medicine, urgent care, or specialty outpatient clinics is highly preferred.
High school diploma or equivalent required.
Medical administrative education or certification is a plus.

Required Experience

Candidates must have demonstrated experience with:

Insurance eligibility verification.
Commercial insurance plans, Medicare, Medicare Advantage, Medi-Cal, PPO, HMO, and IPA plans.
Electronic Medical Record (EMR/EHR) systems (experience with Elation Health is highly preferred).
Patient scheduling and appointment coordination.
Medical terminology.
HIPAA regulations.
Collecting patient payments.
Reviewing referrals and prior authorizations.
Front office operations within an outpatient medical practice.
