Job Summary

We are seeking an energetic, friendly and highly motivated Dental Administrative Assistant who is passionate about patient care. This position is ideal for an individual who thrives in a fast-paced clinical environment, possesses exceptional organizational and communication skills, and is committed to delivering outstanding patient care. This position requires someone who is organized, dependable, and dedicated to creating a seamless experience for every patient while contributing to the overall success and growth of the practice.

The Front Office Assistant is responsible for creating a positive first impression, coordinating efficient daily operations, and ensuring every patient receives exceptional service from the initial phone call through checkout. Responsibilities

Welcome patients with professionalism and provide an exceptional first and last impression of the practice.
Check patients in and out while ensuring all necessary documentation is complete and accurate.
Schedule, confirm, and coordinate appointments to maximize provider productivity and maintain an efficient schedule.
Verify and discuss dental insurance benefits, estimated patient financial responsibility, and available payment options.
Collect co-payments, deductibles, and outstanding balances prior to patient departure.
Review and update patient demographics, insurance information, health history, and all electronic records for accuracy.
Prepare the following day's schedule by ensuring routing slips, treatment plans, laboratory cases, and patient documentation are complete and organized.
Answer a multi-line phone system professionally, respond to patient inquiries, and route calls to the appropriate team member when necessary.
Scan, upload, and maintain all patient documents within the electronic health record.
Support the clinical team by escorting patients to treatment rooms, coordinating laboratory cases, and assisting with administrative tasks as needed.
Monitor office and clinical supply levels and communicate inventory needs before shortages occur.
Maintain an organized, clean, and welcoming reception area, patient restroom, and common areas throughout the day.
Coordinate effectively with doctors, hygienists, assistants, and administrative staff to ensure seamless daily operations.
Uphold HIPAA standards and maintain strict patient confidentiality at all times.
Contribute to a positive, professional, and team-oriented work environment while consistently delivering outstanding customer service.

Requirements

Must have some dental knowledge. Exceptional candidates with strong administrative and customer service backgrounds are encouraged to apply.
Proficiency with Dentrix or comparable dental practice management software.
Experience scheduling patients while optimizing provider schedules and maintaining an efficient daily workflow.
Thorough understanding of dental insurance verification, benefit breakdowns, pre-authorizations, treatment estimates, claim submission, and insurance follow-up.
Ability to accurately collect patient co-payments, outstanding balances, and process various payment methods.
Strong knowledge of dental terminology, common dental procedures, and treatment sequencing.
Excellent interpersonal, verbal, and written communication skills with a patient-centered approach.
Demonstrated ability to provide exceptional customer service while managing a high volume of phone calls, patient inquiries, and front office responsibilities.
Proficiency with Word, PDF, Microsoft Office, Google Workspace, and modern office technology, including digital forms, electronic document management, and online patient communication platforms.
Experience utilizing patient communication software such as Weave and Lighthouse
Ability to maintain accurate patient records while ensuring compliance with HIPAA and all applicable privacy regulations.
Exceptional organizational skills with the ability to prioritize multiple tasks and adapt to a fast-paced environment.
Professional appearance, dependable attendance, and a positive, team-oriented attitude.
Strong critical thinking and problem-solving skills with the ability to work independently while supporting a collaborative team.
Bilingual (English/Spanish) is preferred but not required.
