Full Job Description

This is NOT a general office admin role. We are only considering candidates with 3+ years of administrative experience inside a construction company office. Residential construction experience strongly preferred.

If your admin experience is in property management, retail, healthcare, insurance, restoration, or general office work — this role is not the right fit.

About the Company

We are a boutique, high-end custom home builder based in Los Altos, CA. We build beautiful custom homes, whole-home renovations, and ADUs across the Peninsula. Our team is small, tight-knit, and family-oriented — you'll work directly with the owners and be a central part of everything we do.

The Role

We're looking for an Administrative & Project Coordinator to keep our office running smoothly and support our active projects. This is a hands-on role for someone who enjoys owning the back office and being the go-to person for the team.

Day to day, you'll:

Manage general office operations and administrative workflow
Coordinate schedules, meetings, and communications for the owners and field team
Support project documentation, filing, and record-keeping
Serve as a point of contact for clients, vendors, and subcontractors
Handle basic bookkeeping and invoicing tasks
Keep the office organized, professional, and running efficiently

What You Bring

3+ years of administrative experience in a construction company office (required)
Residential construction experience preferred
Strong organizational skills and attention to detail
Professional communication — written and verbal
Comfort working directly with owners in a small-team environment
Reliable, dependable, and takes ownership of your work
Proficient with standard office software (Microsoft Office, Google Workspace, QuickBooks)
