Overview

We are seeking a dynamic and highly organized Executive Assistant/Customer Service Specialist to join our team. This role is vital in providing exceptional administrative support to senior executives while delivering outstanding customer service to clients and partners. This position will provide high quality customer service to all customers in all classes of trade, including wholesalers, independent pharmacies, and distributors. In addition, this role will also serve as Executive Assistant and Personal Assistant to the Operating Chairman.

Responsibilities

Manage and coordinate complex calendars, schedule meetings, and organize appointments for executives using Microsoft Outlook Calendar and other productivity software.
Handle all aspects of office management, including filing, front desk duties, multi-line phone systems, and maintaining a professional reception area.
Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, transcribing notes, and managing confidential information with discretion.
Assist with event planning and organizing company meetings, conferences, and special events from start to finish.
Facilitate project coordination by tracking deadlines, preparing reports, and collaborating with internal teams using project management tools.
Coordinate business travel arrangements such as flights, accommodations, transportation, and itineraries using various travel software platforms.
Utilize technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks for bookkeeping tasks, and video conferencing software for virtual meetings.
Support internal communication efforts by preparing presentations, memos, and newsletters that keep teams informed and engaged.
Handle customer service inquiries professionally via phone or email, ensuring prompt resolution while maintaining positive relationships.
Perform clerical duties such as filing documents, managing internal communication channels, and maintaining organized records for easy access.
Order processing: EDI and manual POs.
Prepare customer sales reports.
Maintain and respond to the general customer service inbox.
Handle customer calls and communications.
Communicate pricing updates to the warehouse.
Establish and maintain relationship with the warehouse.
Customer account maintenance, including new account set-ups.
Order tracking.
Work with Supply Chain and Quality departments regarding inventory availability.
Attend cross functional meetings.
Personal Assistant duties for Chairman.
Administrative duties for Chairman.
Other duties as assigned.

Skills

Proven experience as an executive assistant or personal assistant with strong organizational skills.
Excellent typing speed combined with meticulous proofreading and transcription abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks, SAP (preferred), DocuSign, and video conferencing tools like Zoom or Microsoft Teams.
Strong event planning skills with the ability to organize meetings, conferences, and company events efficiently.
Exceptional communication skills with professional phone etiquette and the ability to handle confidential information responsibly.
Demonstrated experience in office management tasks such as filing systems, front desk operations, multi-line phone handling, and office supply coordination.
Ability to coordinate multiple projects simultaneously while maintaining attention to detail and meeting deadlines.
Experience working with C-suite executives or senior leadership teams is highly preferred.
Knowledge of bookkeeping practices using QuickBooks or similar accounting software is a plus.
Adept at collaborating across departments to ensure seamless internal communication and project execution.
Bilingual (English and Spanish)
Self-starter and able to work autonomously.
Detail oriented.
Highly motivated and productive.
Operates at a fast pace.
Must be able to work within deadlines.
Strong interpersonal and teamwork skills.
Bachelor’s degree preferred.
Ability to travel 7-8 times per year.
