Job Summary

We are seeking a dynamic and detail-oriented Fund Administration Officer to join our team and support the efficient management of investment funds. In this role, you will actively participates in fund administration, investor reporting, marketing, and sales processes, ensuring accurate and timely delivery of information to investors, regulators, and internal stakeholders in compliance with established procedures and standards.

Responsibilities

Prepare and distribute quarterly reports to investors and regulators, ensuring accuracy, completeness, and compliance with applicable requirements.
Maintain and update the investor accounting database, generating account statements and other reports as needed.
Maintain all investor and fund documentation, ensuring records are organized, accurate, and readily accessible.
Receive and manage investor requests for information and documents, ensuring timely and professional responses.
Prepare investment proposals and participate in meetings with potential investors to support business development and fund growth initiatives.
Prepare, improve, and maintain marketing materials, including investor presentations and other promotional content, ensuring all materials are current and professionally presented.
Participate in sales and marketing presentations and meetings, providing administrative and analytical support as needed.
Participate in the analysis of investments, supporting the Chief Investment Officer with research, data compilation, and reporting as required.
Identify and implement opportunities to increase automation of reporting processes, leveraging technology and available tools to enhance efficiency and accuracy.
Maintain collaborative relationships with the Accounting Department, legal counsel, and other service providers to ensure seamless fund administration operations.

Knowledge & Skills

Bachelor's degree in any field of study. No prior work experience required; recent graduates with strong organizational skills and a willingness to learn are encouraged to apply.
Proficiency in Microsoft Office Suite, with solid Excel, Word, and PowerPoint skills for reporting, data management, and presentation development.
Technologically savvy, with the ability to learn and adapt to new systems and tools quickly; familiarity with AI-powered tools or automation platforms is considered a plus.
Excellent written and verbal communication skills in both English and Spanish, with the ability to prepare professional reports, presentations, and investor correspondence.
Strong attention to detail and commitment to accuracy in all reporting, documentation, and data management responsibilities.
Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and handle seasonal workload fluctuations.
Ability to interact professionally with investors, regulators, legal counsel, and internal teams in a courteous and responsive manner.
High level of integrity, professionalism, and discretion in handling sensitive financial and investor information.
Eagerness to learn and develop expertise in fund administration, investment analysis, and financial services industry practices.
