Full Job Description

Our Company:

Berkeley Emergency Medical Group (BEMG) is a physician-owned, democratic group that employs 50 physicians and staffs two emergency departments in Oakland and Berkeley. BEMG has an unwavering commitment to serving the health needs of our community. We are an established physician group in the East Bay for over 40 years.

The Opportunity:

We are looking for a motivated Administrative Assistant to provide support to our President, Practice Administrator and Medical Directors. 32 hours per week expected

What you will do:

· Scheduling and calendar coordination

· Filter and manage requests for internal & external commitments for company.

· Draft and/or generate routine communications, coordinate production and dissemination of documents as necessary.

· Look for opportunities to streamline efforts and improve processes.

· Competently manage process for recruitment of new physicians.

· Lead the On-boarding process of new physicians to the practice.

· Maintain Human Resources Information System and records.

· Collaborate with the Medical Staff office of our affiliated hospitals.

· Perform administrative duties such as creating files, file maintenance, scanning and photocopying.

· Schedule Zoom/Teams calls and meetings for the group.

· Provide general office duties, including phone, incoming / outgoing mail management, office supplies and communication with vendors.

· Assist with projects with multi-functional teams.

· Release of Information and subpoena requests.

· Other duties as assigned by supervisor.

Minimum Qualifications:

· Bachelor’s degree in a related area or equivalent level of education and experience.

· Minimum 2+ years administrative experience is preferred.

· Meticulous attention to detail and strong organizational skills.

· Positive, proactive, and can-do attitude in a fast-paced, ever-changing environment.

· Self-starter, goal-driven mentality with a strong sense of ownership and involvement.

· Maintains a high degree of professionalism.

· Excellent written and interpersonal communication skills.

· Handles confidential information with attention to privacy regulations.

· Confidence and strong decision-making skills.

· Proven mastery of MS Office applications including Outlook, Word, Excel, PowerPoint, and SharePoint

· Experience working with physicians is preferred but not mandatory.

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times.

The Location:

This is a hybrid position based in our Berkeley office. Because this role includes on-site responsibilities such as mail, filing, supplies, and office operations, we anticipate [2] days per week on-site in Berkeley, with the remaining days working from home.

Salary and Benefits:

· Estimated hours & Salary: 32 hours per week x 52 weeks $48,000 - $58,000 Commensurate with experience
