OFFICE MANAGER — DRAPER PAINTING COMPANY

LOCATION: DRAPER, UTAH
POSITION: FULL-TIME

Draper Painting Company is one of Utah’s growing commercial and residential painting contractors. We are looking for a highly organized, dependable, and proactive Office Manager to help manage the administrative side of our growing company and keep day-to-day operations running smoothly.

This position will work closely with company ownership and project management and will play an important role in helping Draper Painting continue to grow.

KEY RESPONSIBILITIES

Manage day-to-day office and administrative operations
Answer and manage incoming calls, emails, and customer inquiries
Schedule appointments, estimates, and project-related meetings
Maintain customer, project, subcontractor, and vendor records
Prepare and send proposals, contracts, invoices, and other company documents
Assist with accounts receivable and follow up on outstanding invoices
Assist with accounts payable and vendor/subcontractor documentation
Maintain and organize project files and required paperwork
Collect and maintain subcontractor agreements, W-9s, insurance certificates, crew rosters, and other compliance documents
Assist with scheduling and communication between customers, project management, subcontractors, and ownership
Maintain accurate information within company CRM and administrative systems
Assist with QuickBooks bookkeeping and financial organization
Track deposits, payments, invoices, and project documentation
Assist ownership with reports and administrative tasks
Help develop and maintain organized office systems and processes as the company grows

QUALIFICATIONS

Strong organizational and communication skills
Detail-oriented and able to manage multiple priorities
Professional and dependable
Comfortable communicating with customers, contractors, vendors, and employees
Experience with office administration or office management preferred
QuickBooks experience strongly preferred
Comfortable with computers, email, spreadsheets, cloud-based software, and CRM systems
Construction or service-business experience is a plus
Ability to work independently and take ownership of responsibilities
Strong problem-solving skills and willingness to learn
