Full Job Description

Position: College Success Financial Assistant

Status: Full-Time, Hourly, Non-Exempt

Hours: Up to 40 hours per week

Typical Work Day: Monday through Friday, 10:30 AM – 7:00 PM
Some weekend, late night, and early morning hours will be required throughout the year
On some occasions, hours would vary throughout the year for high peak seasons as well as for purposes of Finance Trainings and remaining up to date on expenses

Compensation & Benefits:

Starting Pay Range: $21.00-23.00/hr (DOE)
Paid time off accrual, paid day off on Birthday, and 12 paid holidays off

Requirements:

Bachelor’s Degree
Majors in Social Services, Human Services, Education, Psychology preferred
Bilingual (English and Spanish)
Must have reliable transportation to and from offices
CPR Certified (provided by NAC; needs to be obtained prior to official hire)
TB Clearance (provided by NAC; needs to be obtained prior to official hire)
Must pass DOJ fingerprinting clearance (provided by NAC; needs to be obtained prior to official hire)

JOB DESCRIPTIONAs a member of the Nicholas Academic Center (NAC) Team, the College Success Finances Assistant (CSFA) supports the Assistant Director of College Success (ADCS), Director of College Success (DCS) and College Success Team, in the review and processing of the NAC Stipend Program for NAC Alumni, which will assist students to succeed and graduate from college. This position will primarily be taking charge in administrative tasks assisting the ADCS, DCS and CFO in collecting, reviewing and administering the organization’s Student Stipend program. Although the main priority to the CSFA is administrative function, the CSFA will at times aid in providing programming support to help with outreach to alumni and ensure all eligible alumni participation in NAC Stipend Program.

DESCRIPTION OF RESPONSIBILITIES:ADMINISTRATIVE

Assist with NAC need-based stipend program
Verify NAC approvals for payments
Issue payments to educational institutions or students via credit card, ACH or wire transfer.
Process tuition, housing, or meal plan payments for alumni requests based on stipend review
Process book stipend payments for alumni requests based on stipend review
Coordinate and process travel arrangements for alumni requests based on stipend review
This includes processing of transportation arrangements (i.e. NAC–Lyft Pass) for alumni.
Coordinate with CS and Admin Teams, as well as external parties (i.e. alumni, financial aid offices) to verify awards and prevent over-award situations.
Maintain accurate records of:
Alumni outreach efforts
NAC Stipend Application Database and tracking
Updates in alumni contact information and files
Ensure documentation for stipends and financial aid support is organized and ready for audit purposes
Prepare data as required for internal and external reporting purposes
Support with ensuring all eligible alumni apply to NAC Stipend Program, follow up with alumni
Provide support in alumni outreach activities, such as annual events and peer mentoring

BUDGET & FISCAL COMPLIANCE

Assist with tracking and auditing NAC Gap Stipend expenses by:
collecting financial documentation as outlined by Chief Financial Officer and Financial Compliance Coordinator
Perform monthly reconciliations for all stipend fund transactions and accounts.
Remaining up to date on payments and expenses in order to prepare monthly, quarterly, and annual financial statements for the ADCS, DCS, Senior Leadership and board of directors.

OTHER

Assist College Success Team with outreach for summer, winter, and spring break activities
Stay current on trends, policies, and issues in educational equity and college access programs
Perform other duties as assigned to meet stipend and finance goals
Maintain positive relationships with alumni and internal stakeholders, providing support as needed
Handle inquiries via phone and email, ensuring timely responses to alumni and stakeholders
Perform other duties as assigned to meet program and operation goals

KNOWLEDGE, SKILLS, AND EXPERIENCE

Limited accounting experience preferred
Knowledge of education/youth program development and implementation
Familiarity with higher education processes, including financial aid and community college transfer requirements
Sensitivity to the needs of a diverse student population
Strong organizational and communication skills
Ability to manage multiple tasks, work nights and weekends, and maintain confidentiality
Proficiency in MS Suite and Google Suite
