Full Job Description

Position: Office Coordinator

Status: Full time, hourly (non-exempt)

Hours: up to 40 hours per week

Typical Work Day: Monday through Friday, 10:30 AM – 7:00 PM
Some weekend, late night and early morning hours will be required throughout the year
Potential visits to local college locations during Fall and Spring semesters
Business summer hours may vary slightly during the summer (mid-June through early August)

Compensation & Benefits:

Starting Hourly Rate: $20-21.00 (dependent on experience)

Requirements:

Bachelor’s Degree
Majors in Social Services, Human Services, Education, Psychology preferred
Bilingual (English and Spanish)
Must have reliable transportation to and from offices
CPR Certified (provided by NAC; needs to be obtained prior to official hire)
TB Clearance (provided by NAC; needs to be obtained prior to official hire)
Must pass DOJ fingerprinting clearance (provided by NAC; needs to be obtained prior to official hire)

DESCRIPTION

The NAC Office Coordinator’s (OC) primary responsibility is the center’s daily operations, ensuring that the center is opened in a timely manner, clean and prepared with the necessary supplies and materials to receive students. The Office Coordinator oversees all administrative and operations supply needs and serves as liaison to property management, parking services, and other external vendors. The position also coordinates the center’s transportation services. This position is responsible for keeping track of student attendance and completing attendance, field trip and activity reports. The position requires the ability to run business related errands for weekly, monthly or annual events. The position provides administrative support to the NAC management team as requested/available.

RESPONSIBILITIES:

ADMINISTRATIVE/MANAGEMENT

Maintain center administrative and operations records and files including but not limited to field trip permission forms, donation receipts, student supplies check-out forms, expense reports, book receipts, and vendor receipts in an organized manner.
Maintain NAC administrative forms including staff directory, current and organized.
Reconcile student attendance rosters and conduct data entry for all student attendance.
Create, manage and organize paperwork needed for field trips, activities, and community outreach.
Manage and update the NAC Library Database and Library Check-Out list.
Run business related errands (e.g. shopping for supplies on a weekly, monthly, and annual basis as needed by staff and the centers).

COMMUNICATION

Work with NAC staff to maintain information and postings on NAC bulletin boards current and up to date.
Update NAC Google calendar with NAC program and event changes. Maintain calendar current with any district or school events.
Create and manage paper program calendars for students.
Alert Director of Academic Services about conflicts that arise with transportation or programming.

BUDGET/FISCAL

Monitor daily expenses, reconcile petty cash receipts, and prepare accurate monthly expense reports.
Submit expense reports to Supervisor for monthly approval.
Provide staff advance petty cash after receiving approval from the Department Directors.
Review expense requests and check they are properly filled out.

FACILITY/OPERATIONS

Responsible for daily opening and closing of the facility and oversee readying supplies, equipment and other operations needs.
Serve as frontline person for all center inquiries including calls, emails, and walk-in visitors.
Provide a friendly and professional customer service to all stakeholders visiting the centers (parents, students, school personnel, business personnel, etc.).
Maintain inventory of all NAC supplies and equipment in an organized and efficient manner.
Oversee any equipment or other maintenance and repair needs.
Communicate equipment needs to the Director of Academic Services.
Maintain inventory of office supplies.
Purchase office supplies on a monthly basis; receive approval for purchases with Supervisor prior to making purchase.
Request food supplies for students on a biweekly and monthly basis (Instacart, supermarkets, and Costco); check in with supervisor prior to all major purchases.
Advise Supervisor and other Directors to issues that may negatively impact the operations of the center.
Serve as liaison to custodial services, parking services, property management, and other external service vendors.

PROGRAM IMPLEMENTATION

Coordinate transportation needs including daily service as well as field trips and other special event transportation needs.
Check-in with NAC Driver to coordinate students’ home drop-offs.
Assist with planning and implementation of Center Programs and events as requested.
Assist with event and activity marketing and promotions.

OTHER

Provide administrative support to all staff, Directors and managers as appropriate or requested.
Other duties as assigned.

KNOWLEDGE, SKILLS, AND EXPERIENCE

Organizational Skills
Knowledgeable in use and maintenance of office equipment.
Computer software skills including MS Word, Excel, PowerPoint
Accounting Skills
Ability to multi-task and set priorities.
Demonstrates initiative and attention to detail.
Interpersonal skill – personable and friendly – with ability to interact with diverse individuals.
Bilingual in Spanish/English preferred.
