Job Overview

We are seeking a dynamic and organized Temporary Receptionist/Office Assistant to join our team! This energetic role is perfect for someone who enjoys engaging with people, and excels at multitasking. As the first point of contact for visitors and callers, you will play a vital role in ensuring smooth office operations and delivering exceptional customer service. This paid position offers an exciting opportunity to develop your administrative skills while supporting daily office functions.

Duties

Greet visitors warmly and professionally, ensuring a positive first impression of the organization
Answer multi-line phone systems promptly and courteously, directing calls efficiently using proper phone etiquette
Manage incoming emails and text messages on our agency platform with attention to detail
Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
Schedule and manage client appointments including sending out scheduling links, intake forms, and appointment reminders.
Support office management tasks such as ordering supplies, maintaining inventory, and coordinating office maintenance- light office cleaning including kitchen, restroom and common areas
Provide clerical support to clients as well as agents
Handle basic customer support inquiries with professionalism and clarity, ensuring client communication is clear and helpful

Skills

Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
Excellent computer literacy including ability to learn new software and processes quickly. Experience with Apple is preferred.
Previous receptionist, office assistant, customer service or medical front office experience is preferred
Exceptional phone reception skills and phone etiquette
Friendly, compassionate and genuinely enjoys helping people
Proven ability to manage time effectively while handling multiple responsibilities simultaneously
Attention to detail while maintaining data in our agency CRM
Works well independently while also being a team member
Ability to remain calm and positive during busy, stressful situations
Enjoys working with seniors and has patience and empathy when assisting them
