POSITION TITLE: ADMINISTRATIVE ASSISTANT

Department: Administration
Reports to: Administrative Services Manager
Classification: Full-time Regular
Status: Hourly/Non-Exempt

$20.18/Hour (Step A/Year 0), up to $21.41/Hour (Step A/Year 2) DOE

DEFINITION:

Under the oversight of the Agency Directors and general supervision of the Administrative Services Manager position responsibilities will include working as a member of an administrative team; performing a variety of administrative and staff support duties which require a range of skills and knowledge of organizational policies and procedures.

ESSENTIAL JOB FUNCTIONS:

Position Responsibilities

Coordinate and performs a range of staff and/or operational support activities for the Agency, such as issuing NOA’s, collecting parent fees, etc.
Greet clients and visitors as well as answer incoming calls and take messages.
Perform typing, transcription, and translation as required including composing reports and correspondence containing decisions and privileged information from the administrative staff.
Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for administration, which may include coordinating travel and lodging arrangements.
Maintain the Agency professional library.
Establish, maintain, and update files, databases, records, and/or other documents.
Compose, prepare, or ensure timely responses to a variety of routine written inquiries.
Document all questions, concerns, and complaints received.
Operates personal computer to access e-mail, electronic calendars, and other basic office support software.
Receive and fulfill central supply and copy request forms.
Sort, screen, review, and distribute incoming and outgoing internal/external mail.
Perform general clerical duties to include but not limited to photocopying, faxing, mailing, binding, filing, and receipt reconciliation.
Perform opening/closing obligations of the administrative office, as assigned.
Provide general support asked of all staff such as bank deposits, mail pickup, and general errands.
Work flexible hours to meet the needs of administration, may include some weekends and evening hours.
Access and update data in a Waiting List computer application
Implement and maintain an agency office supply inventory including ink/toner, clerical supplies, technology needs, uniform orders, etc.
Assist in the maintenance of the EDS archival system.
Update and utilize the EDS mass communication system, as directed.
Perform any other duties as assigned by administration.

Staff Relations

Assist with breaks and other agency needs as requested.
Support all staff members in their duties.
Maintain open and respectful communication to children, staff, and parents.
Serve on a team of early care and education professionals.
Work cooperatively with other staff members, accepts supervision, and helps promote a positive atmosphere.
Maintain strict confidentiality regarding employed staff.

Family Relations

Maintain strict confidentiality regarding families enrolled in the Agency.

NOTE: Essential Job Functions may be both on and off-site locations, days and/or evenings and/or weekends.

MINIMIMUM QUALIFICATIONS:

Bilingual/Biliterate ability in English/Spanish.
In good health and free of active Tuberculosis.
Must provide completed Health Screening Report, Immunizations, and Department of Justice clearance prior to employment.
Keyboarding skills (40+ words a minute), computer literacy, and proficiency with various applications such as MS Office, e-mail, and internet.

REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:

Demonstrated effective communication skills and ability to work cooperatively with others.
Knowledge of Microsoft Office software with the ability to type 35+ words a minute to assemble, manipulate, and/or formulate data and/or reports.
Experience working with a diverse and multicultural population; understanding of problems of varying socioeconomic backgrounds.
Ability to lift a minimum of 40 pounds, assume postures in low levels to allow physical/visual contact with children and engage in physical activity with children.
Ability to see and hear well enough to keep children safe.
Able to reach a child 20-30 feet away in 30 seconds without danger to the staff person's health.
The skills and willingness to deal with sensitive family situations in a non-threatening and professional manner.
Ability to communicate well with adults and children of diverse academic, ethnic, socioeconomic, and cultural backgrounds, including people with disabilities.
Must be able to work independently without intensive supervision.
Must be able to balance and prioritize workload and have strong time management skills.
Records maintenance skills.
Ability to meet or exceed the company’s attendance and punctuality standards.

DESIRABLE QUALIFICATIONS:

Knowledge of early childhood education, intervention skills, and community resources.
Demonstrated successful experience working with community-funded programs.
Demonstrated understanding of and commitment to the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence.
