Full Job Description

This position requires at least one year of RECENT experience supporting residential real estate transactions. Applicants without prior residential real estate transaction, listing coordination, or brokerage operations experience will not be considered.

We’re looking for an organized, detail-oriented Real Estate Transaction Coordinator / Operations Assistant who enjoys variety, thrives in a fast-paced environment, and loves being the person behind the scenes who helps everything run smoothly.

This is a unique position that supports our Transaction Manager, Listing Manager, Director of Operations, and sales team. No two days are exactly alike, making this an excellent opportunity for someone who enjoys learning, staying organized, and making a meaningful impact.

Location Requirement

Please note: This is a full-time, in-office position based in Sarasota, Florida. Due to the collaborative nature of this role, we are focusing on candidates who already live in the Sarasota area. We are not considering applicants who would require relocation or a lengthy daily commute.

Responsibilities

Provide administrative support to our Transaction Manager, Listing Manager, Director of Operations, and sales team.
Assist with transaction and listing coordination on an as-needed basis.
Prepare listing packets, presentation folders, marketing materials, and client documents.
Assist with the coordination of listing-related activities, including property access, signage, photography, and marketing preparations.
Assist with gathering property information, HOA documents, surveys, permits, and other listing documentation.
Enter and maintain accurate information across our team systems, CRM, and transaction platforms.
Organize and maintain digital files, property folders, and internal documentation.
Assist with new agent onboarding, technology setup, and office orientation.
Help manage referral agreements and other operational projects.
Welcome visitors, vendors, and deliveries while maintaining a professional office environment.
Monitor office supplies and assist with team meetings, events, and day-to-day office operations.
Jump in wherever needed to help keep our operations running efficiently.

Qualifications

2+ years of experience in real estate administration, transaction coordination, listing coordination, or a similar support role preferred.
Highly organized with exceptional attention to detail.
Strong written and verbal communication skills.
Positive, professional, and service-oriented attitude.
Comfortable managing multiple priorities in a fast-paced environment.
Tech-savvy with the ability to quickly learn new systems and software.
Proficient with Google Workspace; experience with CRM and real estate software is a plus.
Self-motivated with excellent follow-through and problem-solving skills.
