Full Job Description

Job Summary
We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will assist the Human Resources Department, special projects, and the company Controller with daily tasks. They will help to maintain the office space in a neat, clean, and organized manner, provide assistance and support when necessary, assist restaurant managers in answering questions and obtaining staff information as needed, and offer strong and reliable support to overall office operations.

Responsibilities

Assist with office interactions among the various departments and respond to requests and questions
Assist with the recruiting and onboarding process
Assist controller with various bookkeeping details and daily, weekly and monthly reports
Assist owners and managers with daily operations and special projects
Assist with document editing, layout, and production
Assist with clerical duties: copying, scanning, laminating, data entry, formatting and printing, organizing
Assist with preparing, tracking, and maintaining training materials, letters, and other HR-related material both in English and Spanish as required by Law.
Greet visitors, answer incoming phone calls with a welcoming and genuine demeanor
Coordinate appointments and meetings, and help manage and maintain meeting rooms
Assist and answer questions about any of our programs used at the store level: Paycom, TipHaus, Compeat
Maintain office supply inventory and re-order when necessary
Assist with Retail and Sauce Shipping departments as needed
Other duties as assigned by manager

Qualifications

Exceptional English, fluent Spanish
High school graduate with some college coursework
3-5 years of office administration experience
Some HR experience
Strong time-management and people skills, flexibility, and multitasking ability
Advanced computer skills and experience with online platforms
Proficiency with Microsoft Office, with aptitude to learn new software and systems
Engaging personality and positive demeanor
Experience developing internal systems
Ability to manage and keep confidential information
High attention to detail, data integrity, and confidentiality
Excellent communication skills - interpersonal, verbal, written, and presentation.

Skills/Aptitudes:

Able to work in a demanding environment
Work well under pressure
Able to effectively communicate with staff and management
Able to take direction with a positive attitude
Able to learn and follow work guidelines based on OSHA and ADA regulations
Demonstrate professional behavior and flexibility in a changing environment
