Position Overview
We are seeking a highly organized, compassionate, and detail-oriented Medical Assistant / Medical Scribe / Mohs Coordinator to join our dermatology practice. This is a multifaceted role for someone who enjoys working closely with physicians and patients while also taking ownership of the coordination and administrative aspects of Mohs surgery.
The ideal candidate will be comfortable working in a fast-paced clinical environment, have excellent communication and organizational skills, and be able to seamlessly transition between clinical assisting, medical scribing, patient coordination, and surgical scheduling.
Key Responsibilities: Medical Assistant & Clinical Support
- Prepare examination and procedure rooms and ensure appropriate supplies and equipment are available.
- Obtain and document patient histories, medications, allergies, vital signs, and other relevant clinical information.
- Assist physicians with dermatologic examinations, biopsies, excisions, wound care, and other procedures as directed.
- Prepare patients for Mohs surgery and provide appropriate pre- and post-procedure support.
- Assist with specimen handling, labeling, and preparation according to office protocols.
- Perform or assist with wound care and dressing changes.
- Maintain clean, organized, and properly stocked clinical areas.
- Follow OSHA, HIPAA, infection-control, and practice safety standards.
Medical Scribe Responsibilities
- Accurately document patient encounters in EMA (Modernizing Medicine) in real time or promptly following the physician's evaluation.
- Document histories, physical examination findings, assessments, treatment plans, procedures, diagnoses, and follow-up instructions.
- Assist physicians with efficient and accurate completion of medical documentation.
- Ensure charts are complete and appropriately updated.
- Maintain confidentiality and comply with all HIPAA requirements.
Mohs Surgery Coordinator Responsibilities
- Coordinate and schedule Mohs surgery procedures and related appointments.
- Communicate with patients regarding upcoming procedures, preparation instructions, expected timelines, and follow-up care.
- Obtain and track necessary pathology reports, referrals, medical records, and other documentation required for Mohs surgery.
- Coordinate with referring physicians, pathology laboratories, insurance companies, and other healthcare providers as needed.
- Assist with insurance verification, prior authorizations, referrals, and other pre-procedure requirements.
- Maintain an organized Mohs surgery schedule and help optimize physician and operating room/procedure time.
- Follow up with patients regarding pathology results, surgical scheduling, cancellations, and rescheduling.
- Ensure patients receive appropriate pre-operative and post-operative instructions.
- Track pending cases and follow up on outstanding items to prevent delays in patient care.
- Serve as a primary point of contact for patients throughout the Mohs surgery process.
- Help maintain accurate surgical logs, case records, and other required documentation.
Qualifications
- Previous experience as a Medical Assistant, Medical Scribe, Surgical Coordinator, or Dermatology/Mohs Coordinator required.
- Dermatology or Mohs surgery experience strongly preferred.
- Strong understanding of medical terminology and clinical documentation.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and organizational skills.
- Ability to prioritize and multitask in a busy clinical environment.
- Comfortable communicating with patients, physicians, pathology laboratories, insurance companies, and outside medical offices.
- Proficiency with electronic medical records and standard computer applications.
- Ability to maintain patient confidentiality and exercise sound judgment.
- Certification as a Medical Assistant is preferred, if applicable to the position and state requirements.
