Full Job Description

Baltimore-based general contractor looking for an organized, dependable Office Manager to keep our office running smoothly and support our team across the organization.

About the Role

The Office Manager is the backbone of day-to-day office operations — the person who makes sure the building runs, supplies are stocked, equipment works, and visitors and calls are handled professionally. This role also provides administrative support across departments as needed, and works directly with the President/HR Manager on assigned tasks. The company name is withheld at this stage of the search. This is a great fit for someone who takes pride in a well-run office and enjoys variety in their day.

What You'll Do

Office Operations & Management

Own the day-to-day condition of the office — coordinate maintenance, repairs, and vendor visits as needed
Manage copiers and office equipment, including service calls and supply needs
Order and maintain office and kitchen supplies, keeping the office stocked and running smoothly
Oversee internal office events, staff meetings, and celebrations
Coordinate company apparel — ordering, inventory, sizing, vendor relationships, and record-keeping

Front-of-Office & Administrative Support

Greet visitors and serve as the first point of contact for the office
Answer and direct phone calls, providing information as needed
Open, sort, and distribute mail; manage incoming and outgoing shipments (UPS/FedEx)
Register employees for seminars and training
Maintain organized office forms and records
Provide administrative support across departments and to the President/Owner as needed

What You Bring

3+ years of experience in office management, executive support, or a comparable senior administrative role
Prior administrative experience in a similar office environment
Sound judgment and discretion — this role often involves confidential or sensitive information
Proficiency in Microsoft Office and Adobe; experience with industry-specific project or accounting software is a plus
Strong attention to detail and comfort managing multiple priorities and deadlines at once
Demonstrated ability to manage ambiguity, multiple stakeholders, and shifting priorities with minimal oversight
A polished, professional presence with vendors, clients, and visitors
Strong written and verbal communication skills
Ability to work independently while supporting multiple departments
Comfort learning new software and digital tools
Perform additional duties as assigned
